Paradigm is seeking an Accounting Assistant II for a hybrid role in our Tampa, FL, office. The Accounting Assistant II is responsible for timely and accurate completion of accounts payable related activities and processing bills for payments. Notify providers of short payments when processing bills and answering questions for claims status or other provider inquiries.
Upon hire, the first 90 days will be in office, Monday – Friday, from 8 AM to 5 PM ET. Following the orientation and training period, the position will move to hybrid, with 2–3 days in office each week.
Responsibilities- Research claim status at the request of providers by phone and email.
- Process incoming Accounts Payable invoices in Netsuite and notify providers of short payments.
- Select checks for payment each week and attach check detail reports to be mailed out.
- Write off AP bills monthly through journal entry import into Netsuite.
- Maintain vendor center in Netsuite.
- Review W9s and ensure correct information (TIN/Company name) is input into Care Link for year‑end 1099 process.
- Sign up providers for ACH and input information into Netsuite for accurate payment processing.
- Sign up providers and assist with navigating our Vendor Portal in Care Link.
- Communicate with other departments to resolve any issues that may arise in Accounts Payable.
- Proactively suggest process improvements for the AP function.
- Keep supervisor informed of any problems encountered while using Care Link or other issues which would impact the AP function.
- Perform tasks which are supportive in nature to the essential functions of the job, but which may be altered or redesigned depending on individual circumstances.
- Complete other projects as assigned.
- Maintain reliable and predictable attendance during scheduled work hours.
- Utilize AI tools to support day‑to‑day tasks, improve efficiency, and enhance output quality. Adopt new technologies as trained and apply them in alignment with established processes and guidelines.
- Responsible for complying with Paradigm Information Security requirements and policies, for safeguarding Paradigm or Paradigm‑related passwords, and for notifying Paradigm of any Information Security incidents per policy SEC 10‑12 Information Security Incident Management.
- High school diploma and some college credit and/or relevant experience preferred.
- At least two (2) years of accounting experience to include Accounts Payable in the insurance industry.
- Workers' Compensation experience preferred.
- Netsuite experience preferred.
- Excellent communication skills, verbal and written; proficient in reading, grammar, and mathematics.
- Excellent computer skills (e.g., Outlook, Excel, Word, Teams, Finance software).
- Excellent organizational, prioritization and multi‑tasking skills.
- Knowledge of medical terminology preferred.
- Maintain confidentiality of all data, including ensuring protection of injured workers’ rights, Protected Health Information (PHI), employee, and operations data.
- Compliance with all regulatory requirements, current laws and policies which protect workers from harassment and all illegal and discriminatory behavior. Comply with applicable Quality Assurance initiatives.
- Plan, execute and complete job duties with minimal supervisory direction, utilizing appropriate sound judgment.
- Ability to work independently and as a member of various teams and committees.
- Experience using standard office equipment including phones, calculators, copiers, scanners, laptop/PC, various computer programs, mailing equipment, etc.
