Administrative Assistant Job Location
US-FL-TAMPA
The Administrative Assistant provides administrative support to on-site project management and staff, including administrative functions, accounting reporting and serve as a liaison for employees.
Work Location can vary between office and project site, construction environment. Both located in NW Tampa area close to TPA Airport.
Responsibilities- Ensure forms are available for the Projects teams as required.
- Maintain calendar of events and dates for location.
- Schedule meetings for location.
- Order supplies for location.
- Track Time and Material items for monthly billings.
- Collect data and distribute daily, weekly and monthly reports as required.
- Prepare internal and external communications for project site / team as required.
- For project site, collect hours and project site information and enter the information and hours worked into time keeping software for hourly project craft employees.
- Assist Project Team with administrative support as required.
- Minimum of three (3) years of experience in a construction environment preferred.
- Associate's degree in business or related field is preferred.
- Ability to stay current on software and hardware that can benefit company.
- Self-motivated, and detail oriented.
- Must have excellent organizational skills.
- Must have excellent time management abilities.
- Ability to read and process documents such as contracts and bid documents, statistical reports, operating and maintenance instructions, and procedure manuals.
- Ability to produce routine reports and correspondence.
- Ability to speak effectively with general management, customers, vendors, visitors or employees of organization.
- Ability to communicate effectively in written and verbal correspondence.
- Ability to prioritize tasks in accordance to urgency.
- Must possess a willingness to accept and follow the direction of others.
