Responsibilities:
- Greet visitors, clients, and vendors with a friendly and professional demeanor, ensuring a positive first impression
- Manage multi-line phone systems efficiently, directing calls accurately and courteously
- Handle all front desk duties including check-ins, appointments, and visitor sign-ins
- Maintain organized filing systems, data entry records, and manage office supplies inventory
- Assist with calendar management, scheduling appointments, and coordinating meetings using tools like Google Workspace or Microsoft Office
- Support office management tasks such as bookkeeping with Quick Books, invoicing, and basic bookkeeping procedures
- Assist with social media and online communication
Prior office or administrative experience is required; familiarity with front desk operations highly preferred. Bilingual fluency in English and Spanish is essential for effective communication with diverse clients and staff. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry software. Excellent organizational skills with the ability to multitask efficiently in a busy environment.
Demonstrated phone etiquette skills with experience managing multi-line phone systems. Experience with customer service or customer support roles that involve direct interaction with clients or visitors. Knowledge of office management tools such as Quick Books for bookkeeping or calendar management software is a plus.
