Our Organization and Mission:
The Department of Business and Professional Regulation (DBPR) is the agency charged with licensing and regulating State of Florida businesses and professionals, such as cosmetologists, veterinarians, condominiums, hotels, and restaurants. Our mission is to license efficiently and regulate fairly, and we strive to meet this goal in our day-to-day operations.
The Work You Will Do:
This position is located within the Bureau of Compliance of the Division of Condominiums, Timeshares and Mobile Homes. This position is a part of the administrative assistant team and is responsible for the administrative functions in the office.
Your Specific Responsibilities:
The incumbent in this position is responsible for the Division's mail, assigning various citizen complaints to appropriate staff, and assisting with Public Records requests. This includes:
* Opens and processes incoming complaints and sends acknowledgement letters to the public.
* Answers and routes telephone calls and coordinates reception duties, including greeting visitors to the office.
* Processes incoming and outgoing mail and packages.
* Monitors supplies and is responsible for all aspects of purchasing and vendor contact, including repairs and maintenance.
* Coordinates and completes public records requests.
* Reviews consumer complaints routed in the Department's Document Imaging System, open compliance cases in the Department's Licensing System, and assigns complaints to the appropriate staff members.
* Keeps track of walk-ins and ensures they are properly entered into Versa.
* Assists with hiring packages for new staff members including, but not limited to, scheduling interviews and work samples, collecting documents from the applicants, compiling documents and information for the hiring package, and forwarding documents to the Division HR Liaison.
* This position will arrange travel schedules and reservations, maintain the calendar(s), and coordinate meetings for the FEA and IS teams.
* Performs other related work duties as required.

* Good writing and reading comprehension.

* Good with time management and coordination.
* Ability to establish and maintain effective working relationships with others.
* Ability to prepare correspondence and administrative reports. Proficient in the use of technology including software, hardware, and data systems.
Minimum Requirements:
Two (2) years of relevant experience in customer service and administrative functions.
