Office Administrator
BBI Brands is looking for a highly organized, proactive Office Administrator to help keep our Tampa office running at its best. As the central point of contact for the office, you will support employees across multiple departments while ensuring day‑to‑day operations run smoothly.
What You’ll Be Doing Manage the Front Desk Experience- Serve as the first point of contact for employees, customers, candidates, vendors, and visitors, creating a welcoming and professional office experience.
- Oversee the visitor management system, answer and direct incoming calls, and coordinate guest arrivals with internal teams.
- Support day‑to‑day office operations, ensuring employees have the resources and support they need to be successful.
- Partner with HR, Recruiting, Leadership, and Marketing to coordinate office communications, provide administrative support, and assist with office and department initiatives.
- Coordinate onboarding logistics, including employee badges, parking passes, nameplates, workspace setup, and other office readiness tasks.
- Partner with the Columbus Office Administrator to maintain consistent processes while creating, organizing, and improving office procedures and SOPs.
- Maintain conference rooms, kitchens, common areas, and shared spaces to ensure a clean, organized, and professional office environment.
- Coordinate meeting room setup, catering, office supplies, mail, deliveries, and inventory to support daily office operations.
- Coordinate with BBI Real Estate, vendors, and building management to ensure office services, maintenance, and facilities operate smoothly.
- Prepare documents, scan, print, file, and assist with general administrative projects.
- Provide additional administrative and operational support as needed, contributing to an organized, collaborative, and efficient office environment.
- Bachelor’s degree preferred.
- 1+ years of relevant experience in an office setting, preferably in an administrative or clerical role.
- Excellent organizational skills, ability to prioritize, and comfort working independently.
- Exceptional oral and written communication skills.
- Commitment to providing outstanding customer service and strong interpersonal skills.
- Strong attention to detail.
- Proficient computer skills and ability to operate general office equipment.
