Property Services Coordinator – Tampa, FL

BGIS, a leading provider of integrated real estate management services, is seeking a Property Services Coordinator to support facility managers, vendors, and internal customers.

Responsibilities
  • Act as internal point of contact for procurement of materials and services, overseeing the full purchase lifecycle from request to payment.
  • Update project management work orders, maintain equipment information in Real Condition, and coordinate with the centralized CMMS team.
  • Create and manage purchase orders using Oracle EBS; ensure compliance with sourcing procedures and standards.
  • Maintain vendor records in Oracle, manage vendor onboarding and compliance software.
  • Track Oracle PO lifecycle and reconcile vendor invoices with BGIS's Financial Shared Services Center.
  • Perform QA review of purchase requests to ensure accuracy and coding alignment.
  • Track open and closed purchase requests (POR Tracker) and ensure timely invoicing and billing.
  • Coordinate monthly invoicing reviews, forecast analysis, and billing template updates with finance and client teams.
  • Maintain CMMS data quality, support CMMS system for client accounts, and provide weekly/monthly work order reports.
  • Follow up on overdue preventive maintenance (PM) and industrial (IN) work orders, and submit PM schedule updates.
  • Support timecard tracking, overtime, and payroll adjustments in ADP, and support additional related duties.
Qualifications
  • Minimum of 2–4 years of related experience in facilities or procurement operations.
  • High School Diploma or GED required.
  • Proficient with MS Office suite; advanced knowledge preferred.
  • Strong analytical and problem‑solving skills to identify discrepancies.
  • Excellent communication skills for process explanation to internal customers.
  • Ability to prepare basic memos and variance explanations.
