Administrative Associate
The Administrative Associate provides comprehensive administrative support to the Americas Membership Team, ensuring smooth daily operations and a high-quality customer and member experience. This role manages membership-related inquiries, maintains accurate CRM records, coordinates meetings and travel, and supports outreach and engagement initiatives through organized documentation, research, and communication.
Responsibilities- Monitor and respond promptly and professionally to routine inquiries received in the membership mailbox.
- Maintain and update CRM records, including accurate data entry, account updates, and generation of reports to support membership activities.
- Provide day-to-day administrative support to the Americas Membership Team to ensure efficient operations.
- Schedule meetings, coordinate calendars, and manage logistics for internal and external stakeholders.
- Arrange travel and accommodations for team members and process related expense reports in a timely manner.
- Prepare presentations, communications, and outreach materials to support member engagement and team initiatives.
- Conduct research to support member outreach and engagement initiatives, summarizing findings clearly and concisely.
- Assist with special projects as assigned, contributing administrative support and follow-through on action items.
- Perform general clerical and administrative tasks, such as document preparation, filing, and organizing information, to support overall team effectiveness.
- Collaborate with colleagues to ensure a positive customer and member experience through responsive and accurate support.
- Proven experience in administrative support roles with a strong focus on customer and member experience.
- Demonstrated strong customer acumen, including the ability to respond professionally and effectively to inquiries.
- Proficiency in Microsoft Office Suite, including Excel, Outlook, Teams, and Word.
- Experience with Excel data entry and maintaining accurate records.
- Ability to manage multiple administrative tasks simultaneously while maintaining attention to detail.
- Strong organizational and time management skills to coordinate calendars, meetings, and travel logistics.
- Clear written and verbal communication skills for preparing presentations, communications, and outreach materials.
- Comfort with handling clerical tasks such as data entry, filing, and document management.
Skills & Qualifications
- Experience working with Salesforce or similar CRM platforms is preferred.
- Bilingual language skills are preferred and considered an asset.
- Experience supporting membership, customer service, or client-facing teams is beneficial.
- Ability to conduct research and synthesize information to support outreach and engagement initiatives.
- Interest in growing within a stable organization and exploring future career opportunities.
This role follows standard business hours and operates in a hybrid work environment. The Administrative Associate works on site on Tuesdays and Wednesdays, collaborating in person with the Americas Membership Team, and works remotely on Mondays, Thursdays, and Fridays. The position involves regular use of Microsoft Office applications, CRM systems such as Salesforce, email, and virtual collaboration tools like Teams. The work setting supports professional communication, organized administrative practices, and a focus on delivering a positive experience for customers and members.

This is a Contract position based out of Tampa, FL.
Pay and BenefitsThe pay range for this position is $25.00 - $26.00/hr.
