Schedule: Monday-Friday | 8:00 AM - 5:00 PM.
Pay: $18.00 to $20.00 Per Hour.
Employment Type: Full-Time.
SMI Security Services is seeking a professional, organized, and energetic Administrative Assistant to join our Corporate Office in Doral. This position is ideal for someone who thrives in a fast-paced environment, enjoys interacting with people, and has exceptional organizational and administrative skills.
As the first point of contact for our company, the Administrative Assistant will serve as the face of SMI Security Services, creating a welcoming and professional experience for employees, applicants, clients, and visitors. This role works closely with our Operations, Recruitment, and Human Resources departments to ensure the day-to-day administrative functions of the office run efficiently.
We are looking for a self-motivated individual who can multitask, maintain confidentiality, and provide outstanding customer service while supporting multiple departments.
Key Responsibilities:- Welcome and assist applicants, employees, clients, vendors, and visitors in a professional and courteous manner.
- Answer and direct incoming phone calls and emails.
- Provide administrative support to the Operations, Recruitment, and Human Resources teams.
- Schedule interviews, orientations, meetings, and employee appointments.
- Maintain employee personnel files and confidential company records.
- Assist with new hire onboarding and employment documentation.
- Verify and organize employment paperwork for accuracy and compliance.
- Prepare correspondence, reports, spreadsheets, and other business documents.
- Maintain office filing systems, both electronic and paper.
- Monitor office supplies and coordinate inventory and purchasing.
- Assist with employee communications and company announcements.
- Enter and maintain accurate data in company databases and systems.
- Support recruiting efforts by communicating with applicants and coordinating interview schedules.
- Assist management with special projects and administrative tasks as assigned.
- Maintain a clean, organized, and professional reception area.
- High School Diploma or GED required.
- Minimum of one (1) year of administrative or office support experience preferred.
- Bilingual (English and Spanish) required.
- Strong computer skills with proficiency in:
- Microsoft Word.
- Microsoft Excel.
- Microsoft Outlook.
- Adobe PDF.
- Excellent verbal and written communication skills.
- Strong organizational and time management skills.
- Ability to prioritize multiple tasks in a fast-paced environment.
