Records Technician

  • This position will oversee the processing of employee records for recruitment, selection, reclassification and manage property inventory procedures.

Your specific responsibilities:

  • Performs the Electronic Document Management System (EDMS) storage of construction and/or maintenance projects.
  • Perform the daily attribution and Quality Assurance/Quality Control (QA/QC) function to publish/archive documents identified by the Unpublished Document Report submitted by central office.
  • Retrieves documents, either hard copy or EDMS, as requested by proper authority
  • Records Management and Property Inventory Tracking via various management systems, i.e., Records Retention and Destruction; to ensure compliance with department procedures
  • Assist the Office Operations Manager in the preparation of paperwork for recruitment, requisitions, selection classification packages and performance evaluations.
  • Coordinates with the District Human Resources office to assist employees with general human resource issues including but not limited to Family Medical Leave Act, Workers' Compensation.
  • Review and approve/disapprove records disposition requests to purge records based upon retention requirements approved by the Department of State.
  • Provide support in the annual inventory process by locating and scanning assigned property and equipment
  • Perform front desk receptionist coverage or any other area to promote and enhance the production level of administration overall; including communication/switchboard, security, customer service, information dissemination, administrative reports and other administrative support tasks as identified by the Office Operations Manager
  • Type correspondence, organize and maintain filing systems to include:
    Records filing, retention and off-site storage destruction, Public Records request and Property Inventory Tracking via various management systems to ensure compliance with department procedures
  • Direct and coordinate the accessing, reference, retrieval, and disposal of records maintained in a central storage facility
  • Recommends methods and procedures for the transfer or disposal of records
  • Establishes and maintains digital program for tracking all records stored in a central storage facility.
  • Maintain continuous control of the official copy of all completed records disposition requests for the office
  • Performs other duties as assigned

The successful candidate will have the following required knowledge, skills, and abilities:

  • Knowledge of:
    Office procedures and practices Records and files management
  • Skills in:
    Reading, understanding, and applying applicable rules, regulations, policies and procedures Using correct spelling, grammar, and punctuation Planning, organizing, and coordinating work assignments Use of office equipment, Microsoft software applications, and databases Listening to and understanding the needs of both internal and external customers
  • Ability to:
    Follow oral and written instructions Establish and maintain effective working relationships with others Collect information/data and review for accuracy and completeness Communicate effectively orally and in writing

Minimum qualifications:

  • High School Diploma or Certificate of High School Equivalency
