IRYS Insurtech is an AI-native insurance distribution and operating platform serving mid-market and enterprise agencies and brokerages. The company was founded by insurance operators and is headquartered in Tampa, Florida.
Position summaryThe Executive Assistant to the CEO supports the Chief Executive Officer and the executive team, with responsibility for two areas: management of the CEO's time, communications, and travel, and administration of the operating processes that govern executive team meetings and decision follow-through.
IRYS is an early-stage, AI-native software company. This position requires someone who works comfortably without established structure and who is capable with technology, including selecting and learning new tools independently and using AI in daily work.
Key responsibilitiesCalendar and time management
- Own and manage the CEO's calendar, including scheduling, prioritization, and resolution of conflicts
- Coordinate the CEO's professional calendar against personal and family commitments to ensure both are protected
- Prepare the CEO for meetings with relevant context, materials, and background on attendees
Access and prioritization
- Manage incoming requests for the CEO's time and attention, determining what requires her involvement and when
- Redirect requests to the appropriate owner and track them to resolution
- Serve as a point of contact between the CEO and internal staff, customers, investors, and board members
Executive team operations
- Administer meeting standards for the executive team, including circulation of agendas in advance of every meeting
- Capture notes, decisions, and action items; assign owners and due dates
- Track outstanding action items to closure and report status to the CEO
- Coordinate leadership meetings, offsites, and the broader executive operating cadence
Communications
- Manage and triage the CEO's inbox
- Draft correspondence on the CEO's behalf
- Track outstanding items and follow up to ensure timely response
Travel and events
- Arrange travel including flights, accommodations, ground transportation, and itineraries
- Manage logistics for conference speaking engagements, panel appearances, and industry events
- Coordinate customer and investor meetings, including on-site arrangements
Board and investor support
- Coordinate board meeting scheduling and materials deadlines
- Assemble and distribute board documents
- Maintain the reporting cadence with investors
Administration
- Process expense reports and manage corporate card reconciliation
- Route documents for signature and track completion
- Coordinate vendors and manage office and team logistics as needed
Additional personal and household coordination may be added by mutual agreement as the working relationship develops.
Required qualifications- Five or more years of experience supporting a founder, CEO, or senior executive
- Experience in a startup or high-growth company, in an environment where process was still being built and priorities changed frequently
- Demonstrated experience establishing and maintaining operating processes, not solely executing existing ones
- Strong written communication skills, including the ability to draft correspondence in an executive's voice
- Experience interacting with board members, investors, and senior external stakeholders
- Proven discretion in handling confidential information including compensation, board materials, and deal terms
