We are a fast-paced, growing Law Firm in Tampa, and we are looking for the missing piece of our puzzle. We have big ideas and a high-performing legal team, but we need someone who eliminates the chaos and becomes the bridge to the Managing Partners.

Position: Office Manager (The Firm’s Integrator)
Location: Tampa, FL (On-Site Presence Required)
Salary: $75,000 – $90,000

. You are the single point of accountability for the firm s daily "rhythm." You will guide and manage the intake team, oversee critical IT and systems projects, and serve as the operational hub that allows our attorneys to stay focused on the law.
1. Intake Management (The Front-End Glue)
- Help Manage the Intake Process: You don t just "do" intake; you help manage it and set it up for success.
- Conversion Oversight: You monitor the "Sales Funnel" in Clio Grow. If the team is missing leads or data is incomplete, you identify the bottleneck and fix it.
- The Seamless Hand-off: You ensure that by the time an attorney gets a file, it is 100% complete. No more "back-and-forth" for basic information.
2. Systems & Project Execution (The Technical Glue)
- Project Driver: When a Partner says, "We need to optimize our Clio Task Suites" or "Net Docs is disorganized," you are the person who pushes that project to the finish line.
- IT Liaison: You are the internal "first responder" for IT. You manage our vendors to ensure that technology serves the firm, rather than slowing it down.
- Implementation Specialist: You don t need to be a programmer, but you must be a Master User. You ensure the team is actually using the tools we pay for (Clio, Net Documents, AI tools) and following the firm’s SOPs.
3. Office Operations & Special Projects (The Operational Glue)
- Partner Buffer: You handle the "Daily Noise." From facilities maintenance and vendor calls to check deposits and PTO tracking—you keep the "small stuff" off the Partners desks.
- Special Projects "Doer": You own the projects that often stall, such as the quarterly Newsletter, the launch of the Mediation Calendar, and the regular updating of firm manuals.
- Culture & Environment: You manage the physical office pulse. You ensure the environment is professional and coordinate social interactions to keep the team unified.
- An Integrator: You are a natural at organizing people and processes. You like being the team member who makes everything work.
- Execution-Focused: You are a "boots trapper." You don t need a manual; you help write the manual. You take a 2-minute instruction and turn it into a finished result.
- Systems Literate: You are comfortable with Clio and Net Documents and Quick Books. You understand how software should integrate to create efficiency. Proficient in Microsoft Office Suite (Excel, Outlook, PowerPoint, and Word).
- Assertive but Professional: You can hold a team accountable and keep them rowing in the same direction with grace and professional courtesy while setting them up for success.
