Job SummaryMcAdams Group is seeking a proactive, personable, and highly organized Marketing & Events Coordinator to support the growth of our educational retirement planning workshops and client engagement initiatives throughout the Tampa area. This role combines event coordination, appointment setting, prospect engagement, and marketing support to ensure our educational events are well-attended, professionally executed, and consistently generate meaningful client opportunities.
The ideal candidate is a relationship builder who enjoys interacting with people, coordinating events, and managing multiple priorities with exceptional attention to detail. Working closely with the advisory team, you will oversee workshop logistics, secure attendees, coordinate appointments, support marketing initiatives, and help maintain a full advisor calendar—making a direct impact on the firm's continued growth and client experience.
Key Responsibilities Event Planning & Marketing Coordination- Develop and maintain a marketing and event calendar in advance to support educational workshops and community outreach initiatives.
- Coordinate workshop logistics, venue scheduling, promotional activities, advertising, and event preparation.
- Assist with marketing initiatives including community outreach, digital campaigns, media coordination, website updates, and promotional materials.
- Identify and cultivate relationships with community organizations, businesses, and networking groups to expand workshop opportunities and attendance.
- Coordinate event materials and ensure all resources are prepared prior to each workshop.
- Travel to designated workshop venues across the Jacksonville area, arriving early to oversee room preparation, verify technical and material readiness, and ensure all logistics are in place.
- Serve as the welcoming, professional first point of contact for attendees by managing registration, answering questions, and creating a positive event experience.
- Support advisors throughout each workshop by coordinating appointment scheduling, distributing materials, and ensuring seamless event flow.
- Manage post-event breakdown, organize materials, and communicate event outcomes with the advisory team.
- Utilize approved appointment-setting scripts to contact prospective clients and schedule consultations for financial advisors.
- Conduct outbound calls to invite prospects to educational workshops and other firm-sponsored events.
- Perform service and follow-up calls including appointment confirmations, reminder calls, referral requests, and rescheduling when necessary.
- Build and maintain relationships with prospective clients through consistent outreach and professional communication.
- Execute post-event follow-up campaigns, including attendee outreach, drip campaigns, and consultation scheduling.
- Ensure advisors' calendars remain scheduled at least two weeks in advance through proactive appointment management.
- Deliver exceptional client service by creating a welcoming, professional, and organized experience before, during, and after events.
- Assist attendees with scheduling consultations and answering questions regarding workshop follow-up.
- Build rapport with clients, prospects, and community partners while representing McAdams Group with professionalism and integrity.
