Position

Summary

We're looking for a Project Manager who thrives on juggling multiple priorities at once and genuinely enjoys the pace of the events industry. This is a hands‑on, in‑person role based in our Tampa office, ideal for someone with a background in DMC, hotel, or event/meeting planning who is proactive, resourceful, and driven to grow. You'll own event execution end‑to‑end — from proposal through onsite delivery and final reconciliation — while partnering closely with our Account Executive team and clients.

The ideal candidate is a natural multi‑tasker with a go‑getter attitude: someone who anticipates problems before they happen, communicates clearly under pressure, and takes real ownership of their projects. Strong Excel skills, a team‑first mindset, and a genuine passion for customer service are essential.

What You'll Do
  • Lead planning and execution for corporate events including incentives, trade shows, conferences, sales meetings, and customer experiences
  • Serve as the primary client liaison on assigned programs, delivering consistent, high‑touch communication and service
  • Build and manage detailed project timelines, budgets, and meeting specifications for every program
  • Research and secure venues and vendors; manage proposals, site inspections, and contract negotiations
  • Manage attendee registration, communications, and event platforms
  • Lead weekly project team meetings and oversee all logistical planning, from A/V to F/B to transportation
  • Direct onsite teams, troubleshoot issues in real time, and ensure quality control throughout each program
  • Prepare final billing and complete full budget reconciliation for each event
  • Juggle multiple concurrent projects and shifting priorities without dropping the details
What You Bring
  • 3–5+ years of experience as a Project Manager, Event Planner, or similar role — DMC, hotel conference services, or third‑party planning background strongly preferred
  • At least 2 years of hands‑on onsite event management experience
  • Strong working knowledge of hotel operations, A/V production, F/B planning, site selection, and contract negotiation
  • Proven ability to manage multiple clients and complex, competing deadlines simultaneously
  • Strong Microsoft Excel skills, plus proficiency across the Microsoft Office Suite (Word, PowerPoint)
  • A proactive, go‑getter attitude — someone who spots what needs to happen next and takes initiative without being asked
  • Excellent written and verbal communication skills, with high attention to detail
  • A true team player who brings a positive, collaborative energy and strong customer‑service instincts
  • Ability to work independently, stay flexible, and make sound decisions quickly under pressure
  • Willingness to travel, including occasional weekends, for onsite program delivery
  • Ability to sit for extended periods and stand for long stretches onsite; ability to lift up to 25 lbs
  • Bachelor's degree preferred; CMP certification a plus
