Prana Tree is seeking a highly organized, proactive, and versatile
* CEO Office Operations Associate
* to drive execution across the CEO's office and the broader organization. This is an operations-first role for a high-ownership business generalist who can turn priorities into action, coordinate across teams and time zones, and ensure important work moves from discussion to completion.
The role blends business operations, executive-office coordination, organizational communications, sales operations, recruiting support, event management, contract coordination, and special projects. The successful candidate will be comfortable in a fast-paced technology and consulting environment, will communicate professionally with internal and external stakeholders, and will be willing to take on varied assignments that materially improve company execution.
Key Responsibilities Business Operations and Execution- Translate CEO and leadership priorities into clear workplans, owners, timelines, milestones, and follow-up routines.
- Maintain structured trackers for strategic initiatives, customer opportunities, partnerships, hiring priorities, delivery activities, and CEO-office work streams.
- Coordinate cross-functional execution across sales, delivery, AI and technology teams, recruiting, marketing, partnerships, finance, and leadership.
- Identify blockers, risks, dependencies, delayed actions, and decisions required; follow up proactively and escape appropriately.
- Support weekly priority reviews, leadership operating meetings, business reviews, project check-ins, and special-project working sessions.
- Prepare concise updates on priorities, business progress, risks, decisions required, commitments, and next steps.
- Facilitate internal meetings and working sessions when delegated, ensuring that meetings result in documented decisions, accountable owners, and clear next actions.
- Attend selected internal, customer, partner, recruiting, and leadership meetings with or on behalf of the CEO; capture context, commitments, decisions, and follow-ups.
- Independently manage delegated work streams and special projects involving operations, growth, sales, partnerships, recruiting, customer initiatives, research, and process improvement.
- Develop practical operating mechanisms including action registers, dashboards, decision logs, status reports, templates, and meeting cadences.
- Coordinate effectively with Prana Tree’s teams, clients, partners, and offices across the United States, India, Canada, and other global locations.
- Ensure important priorities, updates, decisions, and follow-ups are communicated clearly across functions, geographies, and time zones.
- Serve as a central coordination point for communications originating from the CEO’s office.
- Draft, organize, review, and send professional emails, meeting invitations, summaries, follow-up notes, reminders, and internal updates on behalf of the CEO when delegated.
- Maintain organized communication workflows, including stakeholder lists, contact records, email follow-up trackers, action registers, distribution lists, and communication calendars.
- Support internal communications, including leadership updates, team announcements, onboarding communications, company notices, and event communications.
- Coordinate with marketing and leadership stakeholders on approved social-media communications, including Linked In posts, event announcements, recruiting communications, executive updates, and company news.
- Help gather updates, prepare draft content, coordinate approvals, schedule posts, and track follow-up related to approved company and executive social-media activity.
- Support sales operations through CRM hygiene, account research, opportunity tracking, proposal coordination, customer follow-ups, pipeline reporting, sales-meeting preparation, and action tracking.
- Coordinate proposals, statements of work, NDAs, contracts, vendor agreements, and internal review or approval workflows with relevant stakeholders.
- Track document status, required approvals, versions, deadlines, and outstanding inputs to avoid delays in commercial, customer, vendor, and recruiting processes.
- Support client workshops, customer meetings, business-development events, executive briefings, conferences, partner sessions, and post-event follow-ups.
