Job Description

The Office of Undergraduate Studies is the central location for all undergraduate academic functions in the College of Public Health. This office centralizes student recruitment, pre‑ and post‑admission advisement, monitoring of student progress and probationary status, certification of students for graduation, maintains student records and college academic files, and implements and evaluates college‑wide academic policies related to undergraduates while operating our university‑wide undergraduate programs.

The office is led by the Associate Dean for Undergraduate Studies, who is part of the Dean’s leadership team. Responsibilities
  • Respond to emails received in the shared advising email box to minimize response times for advisors and improve student communication.
  • Process major changes in Banner and send confirmation of the change to the student, as determined by the academic advisor and communicated to the APS.
  • Process minor declarations in Banner and send confirmation to the student, as determined by the academic advisor and communicated to the student.
  • Prepare internship applications and organize student applications for internship review by site coordinators.
  • Sit on the ARC committee to review applications for late withdrawal and late add with other Undergraduate Studies staff.
  • Perform other duties as assigned.
Qualifications

Minimum Qualifications:

  • High school diploma or equivalent, with four years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Degree Equivalency Clause: Four years of direct experience for a bachelor’s degree.

  • Senate Bill 1310 – The Florida Senate (https://(Use the "Apply for this Job" box below).) is conditional upon meeting all employment eligibility requirements in the U.S.
  • SB 1310:
    Substitution of work experience for postsecondary education requirements.
  • A public employer may include a postsecondary degree as a baseline requirement only as an alternative to the number of years of direct experience required, not to exceed:
  • (a) Two years of direct experience for an associate degree;
  • (b) Four years of direct experience for a bachelor’s degree;
  • (c) Six years of direct experience for a master’s degree;
  • (d) Seven years of direct experience for a professional degree; or
  • (e) Nine years of direct experience for a doctoral degree.
  • Related work experience may not substitute for any required licensure, certification, or registration required for the position of employment as established by the public employer and indicated in the advertised description of the position of employment.
  • Minimum qualifications that require a high school diploma are exempt from SB 1310.

Preferred Qualifications:

  • Demonstrated ability to coordinate and manage multiple projects simultaneously while meeting deadlines.
  • Strong attention to detail and commitment to accuracy.
  • Ability to work collaboratively and effectively as part of a team.
  • Proficiency with Microsoft Office Suite and other computer applications.
  • Excellent time management and organizational skills, with the ability to prioritize tasks and work independently.
