Responsible for maintaining accurate Human Resources data, monitoring workforce metrics, and ensuring the integrity of employee records across HR systems. This role supports HR operations by tracking key employee data, generating reports, maintaining compliance records, and providing data insights that support organizational decision-making. The position also assists with data entry, maintenance and validation of employee training records, certifications, and missing employee information within the Human Resource Management System (HRMS) and Human Resource Learning System (HRLS).

The ideal candidate is highly organized, detail-oriented, and proficient in HR information systems and data management.

Key Responsibilities
  • Maintain and update employee records within the Human Resources Information System (HRIS).
  • Ensure the accuracy, completeness, and confidentiality of employee data.
  • Review employee records for completeness and update missing personnel information, ensuring accurate and timely documentation in HR systems.
  • Audit HR data regularly to identify discrepancies and recommend corrective actions.
  • Monitor compliance with company policies and applicable employment laws by maintaining accurate HR documentation.
  • Track mandatory training, certifications, performance reviews, and employee compliance requirements.
  • Assist with data entry, maintenance, and validation of employee training records, certifications, and compliance requirements within the HRMS and HRLS.
  • Support HR audits and reporting initiatives by researching, correcting, and maintaining training and employee data records.
  • Track and monitor key HR metrics, including headcount, turnover, retention, hiring, onboarding, promotions, transfers, and separations.
  • Prepare recurring and ad hoc HR reports for leadership and department managers.
  • Support recruitment reporting by tracking applicant activity, time-to-fill, and hiring metrics.
  • Assist with workforce planning by maintaining staffing reports and organizational charts.
  • Create dashboards and visual reports to communicate workforce trends and key performance indicators (KPIs).
  • Collaborate with Payroll, Benefits, Finance, and other departments to reconcile employee data.
  • Recommend process improvements and automation opportunities to enhance HR data management and reporting.
  • Safeguard the confidentiality of sensitive employee information.
Qualifications Required
  • Bachelor's degree in Human Resources, Business Administration, Data Analytics, Information Systems, or a related field.
  • 2–4 years of experience in HR administration, HR operations, HRIS, or data tracking.
  • Proficiency in Microsoft Excel, including Pivot Tables, VLOOKUP/XLOOKUP, and data analysis functions.
  • Experience with HRIS platforms such as Workday, UKG, ADP, Oracle HCM, or SAP Success Factors.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent attention to detail and commitment to data accuracy.
  • Effective written and verbal communication skills.
