Job Description:

We are seeking a highly organized and detail-oriented individual to join our property management team as a District Field Inspection Coordinator. In this role, you will be responsible for conducting thorough inspections of community-owned assets, generating revenue opportunities through work orders, meeting deadlines, attending meetings, and managing district maintenance vendors. Your attention to detail and ability to effectively communicate findings will be essential in ensuring the proper maintenance and upkeep of the properties you are assigned.

Responsibilities
  • Conduct Full Inspections:
    Perform comprehensive inspections of community-owned assets, including buildings, grounds, amenities, and common areas. Document any maintenance or repair needs, safety hazards, or other issues identified during inspections.
  • Detailed Reporting:
    Prepare detailed reports outlining the findings and recommendations from inspections. Provide accurate and concise descriptions of maintenance or repair needs, ensuring that all information is properly documented and communicated to the appropriate stakeholders. A report template will be provided.
  • Revenue Generation:
    Identify opportunities to generate revenue through work orders by identifying maintenance needs and recommending necessary repairs or improvements. Collaborate with the maintenance team to develop cost estimates and proposals for work orders.
  • Meeting Deadlines:
    Adhere to established deadlines for inspections and reporting. Prioritize workload and manage time effectively to ensure timely completion of assigned tasks.
  • Attend Meetings:
    Participate in meetings with property management teams, maintenance staff, and Board meetings as needed. Provide updates on inspection findings, progress on work orders, and collaborate on strategies to improve property maintenance.
  • Vendor Management:
    Coordinate and oversee district maintenance vendors to ensure timely and quality completion of work orders. Communicate expectations, review proposals, negotiate contracts, and monitor vendor performance to ensure compliance with service level agreements.
  • Compliance and Regulations:
    Stay up to date with relevant regulations, codes, and industry best practices related to property maintenance and inspections. Ensure inspections and maintenance activities are conducted in compliance with applicable laws and regulations.

Complete field maintenance tasks as needed and provide support to field maintenance technicians.

Qualifications
  • High school diploma or equivalent; additional certifications or education in property management or a related field is a plus.
  • Proven experience in property management, facility maintenance, or a similar role.
  • Strong attention to detail and ability to identify maintenance needs or safety hazards.
  • Excellent written and verbal communication skills.
  • Ability to generate revenue opportunities through identifying work orders and recommending repairs or improvements.
  • Proficient in using technology and software for inspections, reporting, and communication.
