The Scheduling & Operations Supervisor is a player-coach role responsible for leading the scheduling function while actively supporting day-to‑day scheduling execution. This role also oversees the post-credentialing onboarding experience to ensure providers are fully prepared, compliant, and successfully deployed into the field. The position owns coordination across scheduling, onboarding, and operational workflows to drive efficiency, reduce delays, and ensure a seamless experience from credentialing completion through first shift.

- IT Department (handoff)
- Providers / Clients (facilities, surgeon offices)
- Oversee daily scheduling operations while actively participating in scheduling coverage
- Schedule providers for cases, shifts, and call assignments as needed
- Monitor and manage next-day and short-term scheduling needs (24–48 hours)
- Ensure accuracy of schedules within Surgical Cloud and related systems
- Communicate schedule updates, confirmations, and changes to providers and facilities
- Lead, coach, and support scheduling team performance and accountability
- Step in to resolve complex or high-priority scheduling issues
- Own candidate workflow from “Credentialing Complete” to “Staffing Ready”
- Ensure all onboarding steps are completed prior to scheduling:
- HR / Paylocity onboarding
- Required training completion
- IT system access setup (in coordination with IT)
- Track candidate progress and proactively remove barriers
- Ensure candidates are fully prepared for Day 1 (systems, expectations, requirements)
- Serve as the central point of coordination between Scheduling, Credentialing, IT, and HR
- Ensure timely handoffs and clear communication across teams
- Escalate and resolve onboarding or scheduling delays
- Drive improvements to reduce time from credentialing to first shift
- Ensure providers receive complete first-day instructions 24–48 hours prior to shift
- Support a smooth first shift experience through proactive communication
- Oversee or conduct post-first shift follow-up
- Reinforce timekeeping processes and expectations
- Monitor key metrics including:
- Time from credentialing to first shift
- Scheduling fill rates
- Onboarding completion timelines
- Identify gaps and implement process improvements
- Maintain high standards for responsiveness, accuracy, and service
- Strong operational leadership with hands‑on execution ability
- Ability to balance strategic oversight with day‑to‑day workload
- Problem‑solving in fast‑paced, high‑pressure environments
- Strong communication and cross‑functional collaboration
- High accountability and ownership mindset
- 3+ years in scheduling, operations, or healthcare coordination (preferred)
- Experience leading teams or acting in a lead/mentor capacity
- Strong systems aptitude (scheduling platforms, Surgical Cloud, Microsoft Office, etc.)
- Ability to manage high-volume, time-sensitive workflows
- Reduced time from credentialing completion to staffed shift
- Improved scheduling efficiency and coverage
- Consistent and positive provider onboarding experience
- Strong team execution and accountability
