Position OverviewThe Project Coordinator oversees the end-to-end execution of digital, creative and media projects. This role serves as the primary liaison between clients and internal teams, ensuring projects are delivered on time, within scope, and at the highest quality. The coordinator combines project management discipline with a strong client-service mindset to deliver an exceptional experience from onboarding to project completion.
Key Responsibilities- Conduct client onboarding sessions and collect project requirements for creative and media initiatives.
- Manage project life cycles, including creative reviews, approvals, production timelines, and final delivery.
- Coordinate and document client feedback, ensuring accuracy and clarity in communication with internal teams.
- Present media schedules for approval and confirm all details (placements, dates, rates).
- Facilitate internal and external review meetings to ensure alignment and timely feedback.
- Escalate risks or bottlenecks impacting deliverables or timelines.
- Manage client offboarding, asset transfers, and account closures for cancellations or non-renewals.
- Maintain SLA compliance across all deliverables and ensure adherence to client and agency standards.
- Strong organizational and communication skills.

- Highly adaptable in a fast-paced, multi-project environment.
- Exceptional attention to detail and documentation accuracy.
- Bachelor’s degree in Marketing, Communications, or related field preferred.
- 1–3 years of experience in project coordination or client service within a marketing or creative agency.
- Familiarity with creative production workflows, media buying, and project management tools.
- Basic working knowledge of Microsoft Office Project, Word, Excel, PowerPoint, Workamajig and/or other PM platforms/software.
Work is normally performed in a typical interior office environment that requires normal safety precautions such as typical office or administrative work.
Physical DemandsJob involves sitting most of the time; walking, lifting, bending, and standing may be minimally required to complete tasks.
This role will report to Mediagistic offices in Tampa, FL. This is a fully in-office/in-person position.Disclaimer
