As the Sales and Operations Administrator
, you will be the first point of contact at the receptionist desk, welcoming visitors, clients, and employees. This role requires excellent communication and organization skills, multitasking abilities, and a friendly, approachable demeanor. You will play a key role in providing administrative support to ensure the smooth day‑to‑day operations of the Sales and Operations team, with a strong focus on delivering prompt and efficient customer responses.
To succeed in this role, you must possess exceptional organizational and communication skills, the ability to manage multiple priorities and deadlines, and a customer‑focused, proactive attitude. The position involves overseeing a variety of sales and office administration functions and requires flexibility to adapt to shifting customer priorities. Strong administrative, clerical, record‑keeping, and computer skills are essential, as well as the ability to handle and protect sensitive company information.
Key Responsibilities- Assist the Sales team with administrative tasks and customer support.
- Collaborate regularly with Senior Management, Regional Managers, Sales Team Members, Store Managers, external vendors, and office administrative tasks to contribute to the overall success of the business.
- Assist with planning and supporting sales events and meetings as needed.
- Manage and coordinate the Learning Center calendar, attendee lists, and catering requirements.
- Coordinate donations and promotions.
- Maintain and file hard copy customer records in an organized and accessible manner.
- Verify and process software support invoices for accuracy.
- Process travel and expense reports.
- Process check requests, warranty credits and salesperson statements.
- Print and send monthly promotions to field sales and store teams.
- Manage the company sports ticket program.
- Provide a warm reception to visitors.
- Monitor company emails.
- Manage office supply inventory and coordinate servicing of office equipment.
- Assist in coordinating office building maintenance, including HVAC, plumbing, electrical systems, cleaning services, and landscaping.
- Ensure the lunch room and conference rooms remain clean and well stocked.
- Design and create store signage and communications for holidays, special events, and other announcements.
- Oversee the office recycling program.
- Coordinate UPS and Fed Ex shipments.
- Organize monthly birthday celebrations, acknowledgments, and employee events.
- Support special projects and other duties as needed.
- Maintain clear, organized, and detailed records of company vehicle titles.
- Oversee fleet vehicle registrations, toll passes, and fuel card management.
- Coordinate proof of insurance for fleet vehicles.
- Support the fleet management workflow by assisting with ticket processing and tracking through KPA.
- Monitor tolls and citations.
- Fluent in English is required (proficiency in Spanish is a valuable asset).
- A high school diploma or GED is required;
Associate degree preferred. - 2–5 years of experience in administrative or receptionist roles.
- Experience in customer service or office administration support is a plus.
- Communication skills: strong written and verbal communication skills essential. Interact with clients, visitors, and staff professionally and clearly.
- Organizational skills: ability to multitask, prioritize tasks, and keep the office running smoothly, managing appointments, schedules, and office supplies.
