Position: Project Administrator (Contract)

Aecon Industrial Construction Corp leads the way in industrial construction and water infrastructure, providing clients in Canada and the United States with vertically integrated solutions and exceptional execution.

Aecon & Allegiant are currently seeking Project Administrator candidates to support our team on the Samsung Semiconductor Facility in Taylor, Texas — one of the most advanced and high‑profile construction projects in the United States. We are interested in candidates with strong technical skills, data management abilities, and engineering or construction experience.

The Project Administrator supports the team by providing day‑to‑day administrative and financial coordination to ensure smooth project execution. This role supports site operations through invoicing, billing assistance, record keeping, and compliance with organizational and project requirements in a fast‑paced construction environment.

This is a 12‑month contract position with the possibility for extension.

What You'll Do Here
  • Process, track, and distribute invoices for approval.
  • Create and process purchase requisitions.
  • Receive and process packing slips for materials.
  • Process and track accounts payable invoices.
  • Establish accounts with local suppliers for miscellaneous items for the site.
  • Coordinate site access, office supplies and general site logistics.
  • Assist with the creation and submission of project billings, including backup documentation and submission support.
  • Maintain an organized filing system on site.
  • Learn, interpret, and apply organizational policies, rules, and regulations.
  • Assist with continuous improvement of administrative processes and systems.
  • Maintain labour force tracking, including headcount and trade breakdowns, board allowance and vehicle allowance.
  • Track apprentice hours and work classifications to support apprenticeship program requirements.
  • Support onboarding and off‑boarding of site personnel.
  • Accurate daily entry of hourly workforce timecards (repetitive movement data entry).
  • Provide day‑to‑day administrative support to the Project Director, Project Managers, and site leadership team.
  • Able to perform in a fast‑paced environment.
  • Provide on‑site work as required.
What You Bring To The Team
  • Ability to work independently in a fast‑paced, deadline‑oriented environment.
  • Proficiency in Excel and MS Office Suite; exposure to construction project management and scheduling tools is an asset.
  • High level of integrity, confidentiality, and accountability.
  • Ability to perform detailed work with accuracy.
  • Excellent verbal, written, and interpersonal communication skills.
  • Excellent customer service skills.
  • Strong planning, organizational, and task‑monitoring skills.
  • Ability to speak Spanish is an asset.
