Overview
Position Overview The Cost Estimator Administrator is responsible for developing accurate cost estimates for construction projects, maintaining estimating databases, and supporting the preconstruction and project management teams. This role combines technical estimating skills with administrative coordination to ensure timely and competitive project bids.

- Prepare detailed cost estimates for construction projects including labor, materials, equipment, and subcontractor costs
- Review project drawings, specifications, and scope documents to identify all cost components
- Perform quantity takeoffs using digital tools and manual methods
- Analyze historical cost data and current market pricing to develop accurate estimates
- Prepare bid summaries, cost breakdowns, and budget reports for management review
- Identify value engineering opportunities and cost-saving alternatives
- Maintain and update estimating databases including unit costs, labor rates, and material pricing
- Organize and manage historical project cost data and lessons learned
- Update cost libraries with current market rates from vendors and subcontractors
- Ensure estimating software and templates are current and accurate
- Develop and maintain standardized estimating procedures and checklists
- Coordinate the bid process from pre-bid through submission
- Distribute bid packages to subcontractors and suppliers
- Track and log subcontractor and vendor quotes
- Conduct bid reviews and scope comparisons for subcontractor proposals
- Prepare bid forms, addenda logs, and qualification statements
- Ensure all bid requirements and compliance documents are complete
- Maintain bid calendars and deadline tracking systems
- Communicate with subcontractors, suppliers, and vendors to obtain pricing
- Coordinate with project managers, engineers, and architects for scope clarification
- Attend pre-bid meetings and site visits as needed
- Present estimates and recommendations to senior management
- Support project teams during the transition from estimating to execution
- Create and maintain organized estimate files and documentation
- Prepare detailed estimate reports with assumptions and exclusions
- Track estimate vs. actual costs for continuous improvement
- Generate monthly reports on bidding activity and win rates
- Maintain compliance with company estimating standards and procedures
- Review estimates for accuracy, completeness, and competitiveness
- Perform peer reviews of estimates prepared by team members
- Identify and resolve discrepancies in drawings or specifications
- Ensure consistent application of estimating methodologies
- Associate s or Bachelor s degree in Construction Management, Engineering, Architecture, or related field preferred
- Equivalent combination of education and experience will be considered
- 3-5 years of experience in construction cost estimating or related field
- Experience with commercial, industrial, or institutional construction projects
- Familiarity with construction methods, materials, and means and methods
- Background in construction administration or project coordination a plus
- Proficiency with estimating software (Procore, Sage Estimating, On-Screen Takeoff, Bluebeam, Plan Swift, or similar)
- Advanced Microsoft Excel skills including formulas, pivot tables, and data analysis
- Ability to read and interpret construction drawings, specifications, and contracts
- Strong mathematical and analytical skills
- Experience with database management and data organization
- Proficiency with Microsoft Office Suite (Word, PowerPoint, Outlook)
- Exceptional attention to detail and accuracy
- Strong organizational and time management skills
- Ability to manage multiple projects and deadlines simultaneously
- Excellent written and verbal communication skills
- Problem-solving mindset with analytical thinking abilities
- Team-oriented with ability to work independently
- Professional demeanor when interacting with clients and subcontractors
- LEED AP or other green building certifications
- Professional estimating certification (ASPE, AACE)
- Knowledge of local building codes and regulations
- Experience with specific construction trades (electrical, mechanical, civil, etc.)
- Bilingual skills (Spanish preferred)
- Office-based position with occasional site visits
- Ability to sit for extended periods while working on computer
- Occasional lifting of documents, samples, or materials up to 25 lbs.
- May require occasional travel to project sites or client meetings
