Overview
Our client is an established engineering-focused professional services firm with a lean internal structure. They are seeking an experienced Accounting Manager to independently manage the firm’s day-to-day financial operations from end to end.
This is a highly hands-on, individual contributor role designed for someone who prefers execution and ownership over oversight. Rather than leading a team or supporting public-company requirements, this position is responsible for maintaining accurate books, producing reliable financial reporting, supporting project billing, and keeping monthly processes running smoothly.
The role offers significant autonomy and direct interaction with leadership, without the layered processes commonly found in larger organizations.
REMOTE with option to work in Tempe, AZ office 1-5 days a week
Core Responsibilities1. General Accounting & Financial Reporting
- Own full-cycle accounting activities within Quick Books or a similar accounting system, including journal entries, reconciliations, and monthly/year-end close.
- Prepare and distribute recurring financial reports, including income statements, balance sheets, and cash flow summaries.
- Track daily cash activity and prepare short-term cash forecasts on a weekly basis.
2. Project-Based Accounting & Revenue Tracking
- Oversee time entry and expense reporting through an integrated time-tracking platform such as Spring Ahead, ensuring data flows correctly to accounting and payroll systems.
- Compile monthly billing support for project leads and issue customer invoices based on approved billable activity.
- Review project performance against budgets; proactively notify project leadership of margin concerns or cost overruns.
3. Accounts Payable & Accounts Receivable
- Manage the complete vendor payment cycle using an AP automation tool such as
- Review, code, and approve invoices while maintaining synchronization with the general ledger.
- Execute vendor payments and monitor outgoing cash.
- Track open receivables and collaborate with project managers and clients to resolve aging balances.
4. Payroll & HR Administration Support
- Serve as the primary internal contact for the firm’s PEO/payroll provider (e.g., ADP Total Source).
- Validate time and expense data prior to payroll submission and ensure accurate processing.
- Coordinate administrative aspects of employee onboarding, benefits enrollment, and offboarding.
- Support benefits administration and workers’ compensation audits, leveraging external compliance resources as needed.
5. Regulatory & Tax Coordination
- Handle routine state and local filings and applicable business taxes.
- Partner with an external CPA firm to support year-end tax preparation and compliance.
Required Background
- Minimum of 5 years of progressive accounting experience, ideally within a consulting, engineering, or other professional services environment.
- Proven ability to operate independently with limited oversight while maintaining consistent communication with leadership and staff.
- CPA designation not required; strong working knowledge of accrual accounting is expected.
- Experience with accounting platforms such as Quick Books Enterprise or equivalent.
- Familiarity with AP tools (e.g., ), time/expense systems (e.g., Spring Ahead), and PEO environments (e.g., ADP Total Source).
- Proficiency with common office and document tools, including PDF editors, spreadsheet software, email platforms, and cloud-based file storage solutions.
- Understanding of job costing, billable utilization, WIP, and project-level financial tracking.
- Comfort managing confidential employee and payroll information.
- End-to-End Ownership: Willing to handle transactional work while also contributing to higher-level financial discussions.
