IT Scheduler/Recruitment Coordinator

The job will be 40% administrative support for our Head of IT Infrastructure Engineering and 60% interview scheduling for the IT group.
Our IT Leadership team is looking for a highly motivated, resourceful Administrative Professional to support management and their respective teams. This candidate must possess the ability to interface with internal and external clients as well as Senior Management within the organization. The role requires working in a fast‑paced/high‑energy environment, meeting strict deadlines, and troubleshooting and streamlining broken processes. The candidate will accomplish all tasks with poise, professionalism, and a positive attitude.
Responsibilities- Complex calendaring, domestic and international travel experience a must
- Schedule recurring meetings, 1:1s, and staff meetings for key individuals
- On‑board new employees and contractors (sets up network access, ordering equipment, etc.)
- Prepare and submit expense reports and invoices in a timely manner
- Excel with team building / event planning (identifying offsite and onsite venues, contract negotiation, logistics, catering, etc.)
- Create, edit, and compile diverse administrative assignments, PowerPoint presentations, and other related materials, including highly sensitive and confidential information
- Some college required, Bachelors preferred
- At least 3‑5 years of previous related experience
- Creative self‑starter who enjoys working independently and as a member of a team
- Strong team player that builds morale through relationships
- Communicates with poise and professionalism through verbal and written communication
- Expert in Microsoft Office suite required
- Strong attention to detail
- Intermediate to advanced computer/web surfing/ tech savvy skills (plus ability to set up accounts for various users)
- Experience working with audio video conferencing (Web Ex, Lync, Office Communicator, Video Chat)
- Must have the ability to work collaboratively with a high performing Administrative Assistant team
- May act as a resource and role model to other administrative staff
- Flexibility with time/working with different time zones
