TEPCON Construction (an ESOP company) is seeking a highly organized and proactive Executive Administrator to support our Chief Operating Officer (COO). This is a critical role responsible for maintaining operational alignment, driving accountability, and ensuring day-to-day priorities stay on track across the organization.

This is not a traditional administrative position. The ideal candidate is a forward-thinking professional who thrives in a fast-paced environment, communicates with confidence, and takes ownership of outcomes.

The Executive Administrator serves as a key partner to the COO, providing coordination, structure, and follow-through across multiple teams and priorities. This role plays an essential part in ensuring operational efficiency by managing details, tracking progress, and facilitating communication across departments.

Key Responsibilities
  • Coordinate and facilitate meetings, including agenda development, documentation of key takeaways, and tracking follow-up actions.
  • Monitor action items and support accountability across departments.
  • Serve as a central point of coordination between project management, field operations, and accounting teams.
  • Manage administrative functions including scheduling, onboarding coordination, fleet oversight, and expense tracking.
  • Assist in the development and maintenance of weekly scorecards and operational reporting tools.
  • Proactively identify gaps, anticipate needs, and ensure priorities remain aligned and on schedule.
