Office Administrator/ Coordinator, Data Entry

Addison Group is partnering with a growing construction and industrial services organization seeking two Receptionist / Office Administrators to support expanding operations across multiple project locations. This opportunity is ideal for someone who enjoys wearing multiple hats, supporting employees throughout the onboarding process, and serving as a key administrative resource within a fast-paced office environment.
The Receptionist / Office Administrator will support office operations, employee onboarding, front desk responsibilities, payroll administration, and general business support functions while working closely with both office and field personnel.
Job Requirements:- High School Diploma or GED required
- 2+ years of office administration, reception, onboarding, or related administrative experience required
- Experience supporting a fast-paced office environment while managing multiple responsibilities
- Basic Microsoft Excel skills, including formulas and data entry
- Ability to pass a background check and drug screening
- Valid driver's license and reliable transportation required
- Strong organizational skills and attention to detail
- Excellent communication and customer service skills
- Comfortable working in a construction, industrial, or blue‑collar environment
- Experience with payroll, accounts payable, purchasing, or employee onboarding preferred
- Experience supporting multi‑state or union work forces preferred
- Familiarity with Microsoft Dynamics or similar ERP systems preferred
- Manage employee onboarding and HR administrative processes for new hires across multiple states
- Serve as the primary front desk contact by greeting visitors, answering inquiries, and receiving deliveries
- Maintain office supplies, breakroom inventory, and general office organization
- Provide administrative support related to payroll documentation and employee records
- Coordinate office events, meetings, team lunches, and employee activities
- Perform electronic filing, data entry, and document management functions
- Support administrative needs across multiple project locations and remote teams
- Assist Accounts Payable and other departments during periods of increased workload or staff absences
- Occasionally travel between local office and project locations as needed (mileage reimbursed)
- Participate in employee training initiatives and onboarding programs once fully ramped up
- Maintain accurate records while ensuring compliance with company policies and procedures
- Perform additional administrative and operational duties as assigned
- Schedule is Monday through Friday, 7:00 AM – 4:00 PM
