Position: Contracts Coordinator
Location: Tempe, AZ
Duration: 12-Month Contract
Total Hours/week: 40.0
Shift: 1st shift

This Contracts Coordinator is responsible for developing financially viable agreements to support divisional sales and profit goals, evaluating and processing field transactions, and maintaining contracts files and associated systems. The role coordinates with the Sales Force (including TMs, DMs, RMs), the National Accounts team, Corporate Regional Vice Presidents, and Corporate Law Department personnel on the development, distribution, and compliance of bids, proposals, and contracts.

The Coordinator also supports the Sales Force with field transactions such as pricing requests, quotations, trade‑outs, and other ad‑hoc requests.

Essential Job Functions
  • Assemble contracts, bids, and proposals for individual accounts, IDNs, and regional and national group organizations.
  • Submit price requests to management based on price approval matrices, pulling sales data, calculating gross profit, and reviewing justification provided by the field for appropriateness.
  • Accurately create and maintain individual/group pricing contracts in i5 to ensure customers are billed correctly.
  • Maintain group membership in i5 to ensure accurate billing.
  • Organize and maintain files, both electronic and hard copies.
  • Coordinate with Corporate Law Department personnel to prepare various types of contract agreements.
  • Issue, process, and follow‑up on contract expiration notices.
  • Consolidate department data, including number of contracts, field transactions, and sales value of specific groups.
  • Assist with researching price discrepancies and issuing invoice credits.
  • Execute ad‑hoc projects as needed.
  • Provide overall administrative support, demonstrating strong multitasking, detail orientation, analytical skills, decision‑making, effective communication, and teamwork.
  • Demonstrate proficiency in Microsoft Office programs, specifically Excel, and basic ERP systems.
Experience Required
  • Minimum of 1 year of contracts experience.
  • 1 year of finance and/or customer service experience preferred.
  • Knowledge of i5 and JDE Edwards software preferred but not required.
