PHI Health is seeking a dynamic, driven individual to support our mission by providing comprehensive administrative assistance to senior staff. This role ensures the seamless operation of our advanced fleet and the safety of our patients.
Job SummaryUnder the direct supervision of the Project Manager, this position delivers advanced, skilled administrative support to the administrative staff, including directors, managers, supervisors, and other personnel. Key duties involve project management, correspondence, scheduling, travel coordination, document preparation, and database maintenance.
Responsibilities- Proficient use of Microsoft Office (Word, Excel, PowerPoint, Access) and Windows applications, including creating complex tables and forms.
- Prepare general office correspondence, maintain computer files, and produce large, complex projects such as policy and procedure manuals and contract RFPs.
- Organize and monitor workflow to meet calendar deadlines.
- Provide coverage and relief for other administrative assistants during vacation or illness.
- Assist in the preparation of educational, medical‑focused materials, and administrative documents while maintaining confidentiality.
- Develop and maintain databases, track contract expiration dates, and advise appropriate managers of impending due dates.
- Support all departments and managers with special projects and overflow work.
- Coordinate and arrange travel (hotel, air, rental cars, etc.) as needed.
- Perform other duties as assigned.
- High School diploma or equivalent required.
- Four years of progressively responsible secretarial experience, preferably in a healthcare or aviation environment.
- Expertise in Microsoft Office and Windows applications essential.
- Excellent grammar, spelling, punctuation, and organizational skills.
- Strong interpersonal and communication skills for interacting with all levels of management, staff, and the public.
- Fluent reading, comprehension, writing, and speaking in English.
- Ability to maintain confidentiality at all times.
- Ability to compose correspondence and prioritize workflow independently.
- Capacity to produce high‑quality, high‑volume work rapidly and consistently.
- Capability to manage frequent interruptions and handle multiple projects simultaneously.
- Familiarity with Training Management System and Learning Management System software (Fox Britannica preferred).
- Position is designated Safety Sensitive for purposes of the Arizona Medical Marijuana Act.
