Position Summary
Provides high-level administrative support to two senior executives within the Peripheral Intervention business unit, managing sensitive and time‑critical information with discretion. Oversees complex scheduling and prioritization of meetings, deadlines, and presentations to ensure seamless execution. Organizes executive workload and coordinates multiple tasks simultaneously, including compiling and preparing confidential business data and strategic plans. Serves as a key point of contact for internal teams and external stakeholders such as customers, physicians, and corporate officers across the U.S. and global operations.
Key Responsibilities- Arrange complex and detailed travel arrangements (domestic and international) including travel documents, flights, hotels, transfers, itineraries, agendas, and pre‑read materials.
- Draft, edit, and review correspondence, surveys, presentations, meeting minutes, and reports with exceptional accuracy and confidentiality.
- Exercise sound judgment in prioritizing and routing materials, ensuring critical items receive timely attention.
- Provide comprehensive administrative support to VP/GMs and leadership teams on special projects and initiatives.
- Manage complex executive calendars, ensuring optimal time utilization and seamless coordination across global time zones.
- Prioritize meetings, deadlines, and commitments while maintaining accessibility for key stakeholders.
- Respond promptly to communications and provide scheduling support beyond standard business hours as needed.
- Proactively prepare and track complex expense reports, including reconciling credit card receipts in Concur.
- Serve as liaison for senior leaders and functional departments, managing administrative responsibilities for the function(s).
- Interface directly with physicians and healthcare professionals to initiate and manage contracts and coordinate travel and honorarium payments.
- Assist in the organization of company events, trade shows, and charitable activities.
- Track marketing expenditures and maintain budget records.
- Process purchase orders and invoices, add new vendors to the ERP system, and interface with accounts payable.
- Partner cross‑functionally on projects and reporting orders, maintaining and ensuring availability of supplies and materials for the department.
- Act as a “barometer,” staying aware of environmental issues and keeping VP/GMs updated.
- Perform any other duties as assigned.
- Bachelor’s degree preferred; high school diploma required.
- Minimum of 6 years of administrative experience supporting senior‑level leaders at Director or VP level.
- Proficiency with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, SharePoint) and Concur or a similar travel and expense system.
- Experience using Adobe Acrobat and Docu Sign preferred.
- Proven experience managing the planning and logistics of events and meetings, both small and large scale.
- Demonstrated end‑to‑end project management with the ability to meet deadlines.
- Excellent verbal and written communication skills.
- Strong time‑management skills, with the ability to prioritize and use time effectively.
- Proficiency in handling sensitive and confidential situations with tact and diplomacy, maintaining confidentiality and professionalism.
- Willingness to work at least 4 days per week on site; remote or field‑based arrangements may differ.
