Position: HOUSING TENANT RESIDENT COORDINATOR

  • Assists the Housing Manager to coordinate operation, upkeep, and utilization of family housing.
  • Assists Housing Maintenance in order to ensure timely maintenance, alteration, minor construction, painting, repairs and inspections for incoming tenants.
  • Assist the Maintenance Mechanic Leader with the pre-vacating, vacating, and assignment inspections; develop deficiency reports and note on internal tenant tracking system.
  • Prepares invoices for monthly rental charge, pet fees, and move-in fees, tenant property damages that exceed normal wear and tear or when tenant vacates housing. Coordinates with Finance-Accounts Receivables on such bills for collection and final close out.
  • Assists Housing Manager in coordination of tenant rental insurance requirement and enroll tenants. Maintain enrollment and cancellation records for all tenants.
  • Assists Housing Manager with Shared Housing for all students and contractors that includes move-in/out process, invoicing, security deposit return and scheduling for future tenants.
  • Coordinate tenant move-out that accounts for unpaid fees, scheduling final payments, utility closure, security deposit return, inspection and rental insurance cancellation. Process security deposit return after reconciling.
  • Receives and processes routine tenant complaints or requests for repair or maintenance of inoperative, damaged, or broken fixtures, furnishings, equipment, or structures, and refers difficult situations to the Housing Manager.
  • Maintains eligibility lists and assists the Housing Manager in the assignment of housing in accordance with established policies, procedures or instructions. Prepares monthly reports concerning housing occupancy, vacancy, assignments and other related activities.
  • Coordinates the storage, handling, inventory, and movement of furniture, furnishings, or equipment between warehouse and tenant housing.
  • Assist with the Housing Master Key Control System for all FDIHB Housing Units and produces reports as requested by the Housing Manager.
  • Maintains department equipment inventory control that are issued to staff and provide periodic inventory. Recommends new/replacement of equipment when necessary.
  • Assists Inventory Clerk in generating and closing out work orders in Computerized Maintenance Management System for monthly reporting.
  • Serves as the designated supervisor for all on-call urgent maintenance on rotating basis.
  • Assists Housing Manager with scheduling and coordinating housing inspections necessary for proper processing for tenants vacating/occupying FDIHB housing. Participates in annual housing inspections when scheduled.
  • Assists in keeping up with the weekly safety training for the housing department.
  • May serve as supervisor when delegated.
  • Counsels prospective and current tenants with regard to tenant rights, privileges, and responsibilities.
  • Provides FDIHB Housing Rules & Regulations and other housing related directives to FDIHB tenants, Administration, the community and to new employees during pre-employment and/or orientation.
  • Participates in Annual Housing Inspections with the Quarters Maintenance Supervisor.
  • Performs other duties assigned.
Experience

Two (2) years’ work experience with tenant relations services that includes the client intake process, daily operations of residential communities and coordination of housing assignments.

Education

Associate's degree in business administration or related field, or equivalent experience.
