Job DescriptionThe School of International Letters and Cultures is seeking a Business Operations Manager Senior who is highly motivated to manage and maintain the business operations and human resources functions of the academic unit. These functions include budgeting and forecasting, account reconciliation, salary planning, human resources management, and staff supervision. This position also serves as a resource for the School Director, providing budgetary guidance and strategic planning support.
EssentialDuties
Prepares budgets, forecasts and financial reports for the College and School Director to be used in strategic planning and support the financial health of the unit.
Reconciles transactions monthly for various accounts using Workday reports; analyzes, summarizes, and interprets information to ensure expenditures are within the budget guidelines and informs management of irregularities.
Processes funding transfers and other transactions through the ASU Foundation, ensuring donor intent is followed.
Processes scholarship disbursements, ensuring recipients are in line with the scholarship criteria.
Monitors faculty startup, research, and discretionary funds, including setting up accounts, requesting funds transfers, providing guidance on allowability, and resolving issues.
Maintains the budget position control report and creates vacancy savings analysis to determine how to utilize salary savings to most effectively benefit the school.
Remains current regarding all policies, practices, methods, standards, regulations, and requirements affecting the business and operational activities to ensure ongoing compliance; attends training sessions as needed.
Serves as the Authorized Travel Official (ATO) to approve and coordinate travel requests and travel expense reports.
Handles internal and external audits and prepares necessary audit documentation.
Oversees space utilization and annual space survey.
Oversees and approves all department financial/purchasing transactions and may process reimbursements, travel, purchasing, and p-card transactions.
Works with Research Administration on certain aspects of post-award processes and provides information/budgets as necessary for proposals, reviews and approves grant budgets in the ERA system, works with faculty on after the fact/effort reporting approvals.
Supports human resource functions, including, but not limited to, time entry and approval, position renewals, hiring, terminations, job changes, leaves, annual Notice of Appointments (NOA), and academic appointments.
Supervises, evaluates, and directs the work of assigned staff, which includes hiring, termination, performance evaluation/improvement, workload planning.
Contributes to building a sense of community for the school’s faculty, staff, and students.
Represents school at meetings or conferences and serves as a liaison for the school and other university administrative areas.
Assists School Director with special projects as directed.
Demonstrated knowledge in budgeting, forecasting, and strategic planning principles.
Ability to prepare, audit, understand and interpret complex financial and budgetary data and reports.
Experience with academic personnel actions, Interfolio/APARS, Workday HCM and FMS, and Concur.
Ability to work independently and exercise strong time management skills.
Experience in higher education, preferably in an academic unit.
Skill in problem-solving and decision-making.
Skill in effective communication, both verbal and written.
Skill in establishing and maintaining effective working relationships.
