Position Overview

The College of Medicine
- Tucson (COM-T) Administration is seeking a motivated, detail‑oriented, and analytical individual to join our team as a Financial Operations Coordinator. This role is a key contributor to the financial operations of the College, supporting both central administration and its departments and centers. The Coordinator will manage a broad range of financial and data analysis tasks, including assistance with the annual budgeting and forecasting process, general ledger oversight, COM‑T’s allocation model, financial reporting, and clinical funds flow processes.

Candidates should possess strong accounting, analytical, and problem‑solving skills, a solid understanding of financial policies and procedures, and proficiency in Excel. The position requires the ability to manage multiple projects simultaneously while meeting tight, often competing deadlines.

Duties & Responsibilities
  • Prepare and process bi‑weekly, monthly, and quarterly invoices to Banner for various activities associated with COM‑T’s clinical departments.
  • Maintain and update financial schedules related to COM‑T’s allocation model and other reporting protocols, ensuring accuracy, consistency, and alignment with the annual budget.
  • Process quarterly fund transfers to departments and centers for allocations tied to the college’s funding model, commitments, research incentives, and other agreements.
  • Assist in managing the college’s state accounts, including loading and updating budget allocations.
  • Generate monthly and quarterly financial reports, including budget‑to‑actual comparisons, providing insights into spending trends and variances.
  • Perform reconciliations to ensure proper account management and alignment of expenses and revenue with budget plans.
  • Prepare, monitor, analyze, and forecast financial data to support data‑informed decision‑making.
  • Provide support during the annual All‑Funds budget season and quarterly forecasting, including compiling and verifying data and loading information into the University budget system.
  • Prepare cash receipts and record incoming payments in a timely and accurate manner.
  • Process financial transactions with appropriate documentation, ensuring compliance with applicable policies and procedures.
  • Leverage advanced Excel skills to create and analyze various ad‑hoc financial reports, as needed.
  • Serve as a financial resource for departments and centers, providing guidance, addressing inquiries, and offering solutions.
  • Participate in other college‑wide initiatives and special projects, as assigned.
Knowledge, Skills, and Abilities
  • Proficient skills in Excel and other Microsoft programs.
  • Knowledge of accounting practices, procedures, and generally accepted accounting principles.
  • Excellent organization and time‑management skills.
  • Ability to analyze financial data and identify trends, variances, and opportunities.
  • Strong written and verbal communication skills.
  • Ability to multi‑task projects and daily assignments.
  • Self‑starter and strong problem‑solving abilities.
  • Bachelor’s degree or equivalent advanced learning attained through professional level experience.
  • Three (3) years of relevant work experience.
Preferred Qualifications
  • Bachelor’s degree in Accounting, or related field.
  • Advanced experience with Excel.
  • Experience at an academic institution managing state, discretionary, sponsored and gift funds.
  • Experience working with federal grants and sponsor requirements, including managing cost share.
  • Experience with UAccess (Analytics, Financials, UAccess Employee) and knowledge of UA policies and procedures.
