Job Summary

The Scheduling Specialist serves as the first point of contact for patients, helping coordinate appointments while delivering a positive and compassionate experience. This role plays a critical part in supporting both patients and clinic teams by ensuring accurate scheduling and clear communication.

Key Responsibilities
  • Manage a high volume of inbound calls (60-100 per day) in a call center setting, assisting patients with appointment scheduling and related inquiries.
  • Communicate professionally and empathetically with patients to determine appropriate appointment types, provider availability, and clinic locations.
  • Meet established performance metrics related to call handling, accuracy, and service quality.
  • Partner with internal departments and clinic teams to resolve scheduling needs and ensure timely follow-up.
  • Adapt to changing business needs and support additional responsibilities as required.
Qualifications
  • High school diploma or equivalent required.
  • 1+ year of experience in a call center, medical office, or scheduling environment (healthcare experience strongly preferred).
  • Comfortable navigating internal systems and computer software.
  • Strong communication skills, with the ability to demonstrate empathy and active listening.
  • Bilingual in Spanish preferred.
  • Next Gen EMR system experience preferred.
  • Medical Scheduling experience preferred.
  • Knowledgeable with medical insurances and EOBs preferred.
Additional Requirements

Monday-Friday, start times flexible between 7am-8:30am with a 30-minute lunch break. Training schedule for first 2 weeks: 8am-5:30pm for everyone.
