Job Summary:

The Reception / HR Coordinator is the heartbeat of the office and a key partner to the Human Resources team. This role blends front desk hospitality with people-focused administrative support, ensuring employees, candidates, and visitors have a welcoming, positive and seamless experience while supporting core HR and people operations functions.

Responsibilities

Front Desk & Office Experience

  • Serve as the primary point of contact for visitors, customers, candidates, and vendors
  • Greet and welcome guests warmly and manage visitor check-ins
  • Answer and route phone calls, emails, and general inquiries
  • Maintain a clean, organized, and welcoming reception and common area
  • Coordinate office supplies, snacks, mail, and deliveries
  • Support office events, meetings, and employee gatherings

Human Resources Support

  • Assist with employee onboarding and offboarding processes
  • Prepare welcome experiences with new hire materials, badges , equipment coordination
  • Maintain employee records and HR documentation (digital and physical)
  • Support recruiting coordination, including interview scheduling and candidate communication
  • Assist with internal communications, announcements, and people initiatives
  • Help coordinate training sessions, team events, and engagement programs
  • Support compliance tasks and audits as needed
Qualifications
  • Background in hospitality, retail, customer service, or other high-energy, people-facing environments where professionalism, responsiveness, and attention to detail are essential
  • Proven ability to thrive in dynamic settings with frequent interaction, shifting priorities, and a strong team culture
  • Strong interpersonal and communication skills
  • High level of professionalism and discretion with sensitive and confidential information
  • Comfortable juggling multiple priorities in a fast-paced environment
  • Proficiency with Google Workspace, Microsoft Office, and/or HR systems (bonus)
  • Naturally welcoming, friendly, and service-oriented
  • Proactive problem-solver with a positive attitude
  • Strong sense of ownership and follow-through
  • Passion for people, culture, creating positive experiences
  • Ability to adapt and grow with the organization
