JOB SUMMARY

As part of Boyce Thompson Arboretum’s Development Team, the Membership Coordinator is responsible for creating an exceptional member experience. This role will provide support for the growth of the membership program, will support transitioning members to donors through solicitation, stewardship, and renewals. This position is responsible for the day‑to‑day administration of the membership program, donor engagement activities, and outreach efforts. Working closely with the Director of Development and managed by the Development and Membership Officer, this role ensures a high‑quality member and donor experience through strong communication, accurate data management, and proactive engagement.

DUTIES

AND RESPONSIBILITIES
  • Assist with the monthly membership renewal program, which includes acquisition, renewal, upgrade, and retention strategies.
  • Support administrative tasks related to membership and development program to include data entry into CRM systems, daily mail log support, and gift acknowledgement process.
  • Responsible for planning and implementation of membership events and engagements.
  • Support the engagement of members through membership events, answering inquiries in person, phone, or email. This position requires seasonal support in our membership office to provide excellent customer service to all members and prospective members.
  • Support the implementation of XTruLink software and provide troubleshooting support to members and visitors as needed.
  • Develop and implement member surveys to assess satisfaction and gather insights into members, record information in the CRM.
  • Coordinate new and lapsed member campaigns, including direct mail, online, and onsite promotions and provide a thorough analysis of campaign results to Membership and Development Officer.
  • Assist the Membership and Development Officer with strategic planning to support consistent membership program growth and retention.
  • Responsible for monitoring membership budget for expense tracking, submission of invoices to the Finance Department and tracking revenue goals.
  • Manage a portfolio of donors and members ($250–$1,000), focusing on cultivation, retention, solicitation, upgrades, and renewal strategies.
  • Respond to member and donor inquiries and provide high‑level stewardship and relationship management.
  • Collaborate with membership, events, and marketing departments to ensure benefits fulfillment.
  • Support the management of ongoing donor and member multi‑channel communications plan.
  • Support the administration of the memorial bench and tribute program.
  • Support the logistics and coordination of donor events such as the Green Gala and Desert Willow Legacy Society events.
  • Represent Boyce Thompson Arboretum in the community, as needed, and adhere to AFP Code of Ethical Standards.
  • Other duties as assigned to support the Development and Membership Department.
EDUCATION AND EXPERIENCE
  • Associates Degree in Public Administration, or Business Administration, or related field; or years of experience in development, membership, marketing or related field; or 2+ years of relevant work experience.
  • Experience with fundraising and special events.
  • Experience in membership services within a nonprofit.
  • Experience with donor databases, Altru, Blackbaud, Virtuous preferred.
  • Experience in creating digital communications and graphic design in Canva or Constant Contact is a plus!
KNOWLEDGE, SKILLS, AND ABILITIES
  • Knowledge of fundraising and prospect management databases.
  • Experience managing a membership or donor program in a nonprofit organization.
  • Experience working with and stewarding donors.
  • Excellent written and verbal communication skills.
  • Has the desire to get out of the office and build external relationships.
  • A self‑starter, goal‑oriented, adaptable, and able to initiate donor visits and fundraising calls.
  • Possesses excellent written and verbal communication skills, with an ability to motivate and inspire donors, funders, and sponsors.
  • Works well alone and as part of a team. Demonstrates professional equanimity and composure.
  • Able to work flexible hours including occasional nights, holidays, and weekends.
