SUMMARY
Under general direction, provide administrative support to ensure efficient operation of the Transportation Department. Additional responsibilities include assisting the Routing Coordinator with mileage, data, and enrollment relevant to TEA reporting; maintaining and operating various computer software programs, including Transfinder & Skyward Finance; supporting the district’s student transportation system; and communicating effectively with all district personnel and families.
ESSENTIAL DUTIES AND RESPONSIBILITIESinclude the following
- Ability to maintain & process large amounts of data to assist the Transportation Director with annual Operation Reports and Route Services Reporting to the Texas Education Agency on behalf of the district.
- Assists with managing administrative budget items and expenditures. Procurement of supplies for department inventory. Procurement of goods and services through purchasing cooperatives.
- Prepares purchase requisitions, purchase orders, journal entries, payment requests, and travel vouchers. Enters receiving information in the financial accounting system for all purchase orders received.
- Serves as the department’s Timekeeping Manager, processing bi-weekly payroll, time off requests, and bus trip time. Maintains the department’s absentee calendar, which is crucial to daily operations.
- Verifies employee timecard and attendance records and compliance with District timekeeping and attendance policies.
- Flexibility to assist in other areas and willingness to obtain a CDL.
- Responsible for maintaining and developing additional professional skills appropriate and commensurate with job assignment.
- Compiles employee status reports pertaining to absences, missed punches, first reports of injury, new arrivals, and employee exits.
- Serves as back-up for Routing Coordinator.
- Assists other office personnel with duties necessary for continual transportation operations functions.
- Performs other job-related duties and responsibilities as may be assigned by the Director of Transportation.

EDUCATION and EXPERIENCEHigh School Graduate or GED, Transfinder, and Skyward experience is preferred.
MATHEMATICAL SKILLSAbility to perform basic math and to calculate figures and amounts such as discounts, interest, commissions, and percentages.
REASONING ABILITIESAbility to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to prioritize work and to plan adequately to meet deadlines. Ability to recognize unusual financial data indicating possible errors.
