How can you make a difference?

The Programme Assistant Yuwaah is required to support the YuWaah section by carrying out a range of procedural, administrative, and operational tasks, to help develop, implement and monitor the country programme, ensuring timely and effective delivery that is consistent with UNICEF rules and regulations.

The role of Program Assistant will primarily manage the L1 functions for the section which are crucial for initiating any transactions related to supply & procurement of services in VISION which include creating new and amending purchase requisitions, TA

Requisition /TOR Form (FOR Temporary Appointments) creating requests in PCM, all transactions related to partnership management in ezhact 2.0/etools/UNPP, fund management services for allocation/transfer and rephasing, MDM cases for vendor and partner management, creating TRIPs-TOB" for staff in Fiori, and other logistical support for events/meetings/travel arrangements etc.

Major duties and responsibilities:

* Facilitate processing of contracts for consultants, vendors and external partners that support the office in programme delivery. This includes preparing and filing documents, completing necessary forms and templates, uploading TOR's in VISION, and making necessary logistical arrangements. Keeps vendor lists, partners, and consultant rosters up-to-date.

* Collect invoices and filing documents for approval and thereafter processing in VISION and service gateway.

* Prepare and maintain records, documents and control plans for the monitoring of project/programme implementation and financial expenditures.

* Support the management of administrative supplies and office equipment.

* Provide travel assistance to staff members in section for travel arrangements and entitlements based on the organization's rules and policies. Liaise with relevant travel focal points.

* Carry out transactions in VISION ensuring programme results, activities and programme coding are as per annual work plans (AWPs) and make amendments and alterations as per section revisions when necessary.

* Support capacity development activities, meetings and conferences by making the logistical arrangements, through engaging with facilitators, caterers and hosts; arranging times through liaising with participants over availability; liaising with budget focal points and section over costs and needs.

Minimum requirements:

* Education:

Completion of secondary education is required, preferably supplemented by technical or university courses related to the work of the organization.

* Work Experience:

At least 5 years of relevant work experience in Administration, program administration, contract management, procurement, vendor management, travel coordination, records management, financial administration, event logistics, partnership management, office administration. and any other related fields.

* Skills:

Strong organizational, planning and prioritizing skills and abilities, in depth knowledge of administration- general policies and procedures, high sense of confidentiality, initiative and good judgement, ability to work effectively with people of different national and cultural backgrounds, strong office management skills, good knowledge of book-keeping, experience using MS Word, Excel, PowerPoint, and other UNICEF software such as SharePoint, knowledge of using/facilitating virtual platforms for meetings

* Language Requirements:
Fluency in English and Hindi (written and verbal) is required.

Desirables:

* Language:
Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish)

* SAP knowledge, UN experience, international organization experience

* Relevant experience at country level, particularly in development, fragile settings and humanitarian contexts.
