The Tennessee Department of Health is seeking a Public Health Office Assistant to support daily operations within a county health department clinic. This position performs administrative and clerical duties, assists patients throughout the registration process, supports Vital Records services, and helps maintain efficient clinic operations while following established policies and procedures.
Essential Responsibilities- Perform general administrative and clerical duties in a county health department medical office.
- Promote available health department services for which patients may be eligible.
- Foster a positive and collaborative team environment.
- Register patients by:
- Obtaining and verifying insurance information.
- Checking immunization status.
- Updating demographic and contact information.
- Identifying and eliminating duplicate patient records.
- Navigating multiple systems to verify patient information.
- Following CHS policies, procedures, and operational guidelines.
- Provide Vital Records services in accordance with departmental policies and procedures.
- Process birth and death certificate requests, issue certificates, maintain documentation, and collect appropriate payments.
- Maintain security of the cash box by following segregation of duties procedures and reporting issues to leadership.
- Scan and index required documentation into the electronic records system within 48 hours.
- Schedule patient appointments according to CHS Booking Guidelines.
- High school diploma or equivalent.
- Two years of full-time customer service and/or clerical office experience.
- Relevant full-time customer service or clerical experience may substitute for the required education on a year-for-year basis.
- Accredited college coursework may substitute for required experience on a year-for-year basis for up to two years. Required Skills
