Job Summary
Müller Expo is seeking a highly organized and proactive Full-Time Office Manager to oversee daily office operations and support both administrative and employee management functions. The ideal candidate will excel in supervising staff, managing schedules, coordinating payroll, and ensuring all office and warehouse needs are met. This role requires exceptional multitasking abilities and strong communication skills, as the Office Manager will act as the main point of contact for internal teams, clients, and vendors.
Responsibilities include employee management, booking travel, handling project contracts, supporting the hiring and interview process, and maintaining a professional and efficient work environment.
- Manage and support office employees, ensuring productivity, accountability, and smooth daily workflow
- Handle administrative tasks including paperwork, document organization, and contract processing for upcoming projects
- Manage scheduling and payroll, including maintaining staff calendars and processing time-off requests
- Coordinate and schedule meetings for the sales team
- Book travel arrangements, including hotels and flights, for employees as required
- Order office and warehouse supplies and ensure inventory is maintained
- Oversee front desk operations, answer incoming calls, and greet visitors professionally
- Assist in the hiring and interview process, including screening applicants and coordinating interviews
- Maintain organized filing systems for documents, employee records, and project materials
- Manage vendor relationships and procurement processes to ensure timely delivery of goods and services
- Implement and maintain office policies and procedures to support company efficiency and compliance standards
- Assist with bookkeeping, invoicing, expense tracking, and basic financial record keeping
- Support budgeting processes and monitor office-related expenses
- Ensure clear communication across departments and foster a positive, professional work culture
- Proven experience in office management, administrative leadership, or similar supervisory roles
- Proficiency with Microsoft Office Suite, Quick Books (or similar accounting software), and multi-line phone systems
- Experience with payroll processing, employee scheduling, and general HR administrative tasks
- Strong organizational skills with the ability to handle multiple tasks in a fast-paced environment
- Excellent verbal and written communication skills, with the ability to train and support staff effectively
- Experience coordinating travel, booking accommodations, and organizing meetings or staff schedules
- Background in bookkeeping, vendor management, and contract handling is an asset
- Knowledge of budgeting principles and basic financial management preferred
