At Fast Pace Health, the Patient Care Specialist provides administrative support essential for effective patient care under the direct supervision of a Nurse Practitioner or Physician Assistant. The Specialist provides outstanding customer service and maintains a compassionate and welcoming atmosphere. They use in-depth knowledge of front office processes to include patient registration and insurance practices, as well as effective communication with patients and clinic employees.
The Specialist maintains a high level of customer focus at all times, especially during periods of high patient volume.

Responsibilities PRIMARY- Demonstrate a high level of Customer Service to greet, register, and discharge all patients
- Cross‑train and assist with back‑office duties as needed within scope of practice
- Accurately collect and input patient demographics and financial information at registration for all patients
- Verify and update all patient insurance information at registration
- Maintain strong knowledge of medical insurance plans including co‑pays, deductibles, and coverage limits
- Stay up to date with changes to government and commercial insurance plans
- Maintain a high‑level understanding of the Fast Pace Self‑Pay program
- Collect all insurance, co‑pays, deductibles, or Self‑Pay amounts at registration
- Answer the phone politely, demonstrating a commitment to positive patient experiences through outstanding customer service
- Maintain Fast Pace Customer Service levels and facilitate patient flow by notifying the provider of patient arrival, being aware of delays, and communicating with patients and clinical staff appropriately
- Retrieve, fax, or mail medical records to primary care providers as needed and coordinate the medical records process for continuation of care
- Cross‑train on back‑office clinical skills to perform in a cross‑functional role when needed
- Complete all mandatory compliance training and consistently follow processes and procedures to maintain compliance standards
- Maintain friendly, cordial relations with all clients and employees; foster a positive work atmosphere by acting and communicating in a manner that results in positive relationships with customers, co‑workers, and managers
- Perform the physical, sensory, cognitive, and environmental functions of the position as specified in the physical demands
- Fold towels, clean tables, and help patients with exercise equipment
- Welcome new employees on their first day, facilitate introductions to team members, conduct clinic tours, and provide an overview of clinic processes
- Assist new employees with learning activities and completing required training
- Support new employee training through job shadowing, demonstration, and coaching opportunities
- Comply with company standards of operations
- Adhere to the core values of teamwork, communication, empowerment, quality of care, and friendliness
- Promote a respectful culture of employee, employer, patient, and business confidentiality
- Demonstrate proficiency with basic PC skills including typing, mouse use, and basic software such as MS Outlook and Word
- Maintain overall cleanliness of the office as needed to support the team and clinic environment, including garbage removal, desk organization, and assistance to achieve a professional appearance for employees, patients, and visitors
