Description

Knoxville Orthopaedic Clinic is currently seeking a full-time Surgery Scheduler to coordinate surgical cases from the initial order through the procedure date. This position works with patients, physicians, clinical teams, insurance companies, and surgical facilities to keep cases accurate, complete, and on schedule.

Responsibilities

Schedule surgical procedures with physicians, hospitals, ambulatory surgery centers, anesthesia providers, and clinical teams.

Confirm procedure dates, times, locations, laterality, equipment, implants, assistants, and facility requirements.

Review surgical orders and documentation for accuracy and completeness.

Verify insurance coverage and coordinate prior authorization or pre-certification.

Track outstanding authorizations, clearances, testing, and documentation through completion.

Provide patients with approved instructions regarding arrival times, locations, preoperative testing, medications, fasting, and transportation.

Coordinate laboratory work, imaging, electrocardiograms, medical clearances, and specialty consultations as directed.

Maintain accurate schedules and case information in the EHR, practice-management system, facility portals, and other scheduling tools.

Communicate schedule changes, cancellations, delays, and missing requirements to patients, providers, facilities, and Team Members.

Work with clinical teams, authorization staff, billing, medical records, and surgical facilities to prevent avoidable delays.

Answer questions about the scheduling process and refer clinical questions to the appropriate licensed Team Member.

Maintain organized work queues, notes, correspondence, and supporting case records.

Protect confidential patient and organizational information in accordance with HIPAA and KOC policies.

Identify recurring scheduling or documentation issues and share them with leadership.

Participate in meetings, training, cross-training, quality reviews, and special projects as assigned.

Qualifications
  • High school diploma or equivalent.
  • Experience in healthcare scheduling, surgical coordination, medical-office administration, or a similar patient-access role.
  • Knowledge of medical terminology, insurance verification, prior authorization, and preoperative requirements.

Strong organizational, communication, customer-service, and problem-solving skills.

Ability to manage multiple cases and deadlines with accuracy and discretion.

Proficiency with electronic health records, practice-management systems, payer portals, scheduling applications, email, and spreadsheets.

Preferred
  • Associate degree or college coursework in Healthcare Administration, Medical Office Administration, Business, or a related field.

Experience scheduling orthopaedic or specialty surgical procedures.

Experience in a physician practice, hospital, or ambulatory surgery center.

Experience with Next Gen or a similar EHR and practice-management system.

Work Environment and

Physical Requirements

This is primarily an office-based position with frequent telephone and electronic communication. Occasional travel to KOC locations, meetings, or training may be required.

The position involves prolonged periods of sitting and computer use, with occasional standing and walking. Employees may occasionally need to lift or carry office materials or equipment weighing up to 15 pounds. Reasonable accommodations may be made for qualified individuals with disabilities.
