DescriptionIncumbent serves as Deputy/Judgments for the Vigo County Treasurer’s Office, responsible for collecting, recording, and processing taxes and related payments and assisting the public.
Examples of Duties- Collects property tax payments.
- Verifies monies collected, issues receipt to taxpayer and posts payment details into property tax system.
- Balances cash drawer, turns in cash deposit to Finance Deputy and scans checks for remote deposit.
- Maintains positive public relations for the Treasurer’s office providing customer service by assisting with inquiries, complaints, explaining certain procedures, researching tax information, resolving discrepancies and providing necessary follow-up.
- Processes payments for redeemed tax sale properties.
- Completes change of address request forms.
- Begins Demand Notice Processing after June 10 th once 10% penalty has been applied.
- Prepare demand notice extract. Thoroughly review list and correct/omit as needed before submitting final Demand Notice Listing to collection agency.
- Certify unpaid Demand Notices as a Judgment to the Courts after 30 days of Demand Notice mailing.
- Provides Clerk’s office with the final Certified to Court report in order to receive a cause number from the Court.
- Balances monthly statement from collection agency and posts payments in the Judgments section of the Receipting application of the property tax system.
- Maintains Judgment book with payment information.
- Periodically update Court’s report in the Clerk’s office at the Courthouse.
- Maintains TRECS (Tax Refund Exchange and Compliance System).
- Provides Association of Indiana Counties (AIC) with initial “Set Off of Refunds” report of properties with delinquent property taxes in January.
- Prepares new reports to upload 2-3 times per week. Continues this process until AIC informs us to stop. (Usually through July – sometimes longer.)
- Responds to emails and answers telephone providing information and assistance, answering questions, taking messages or transferring caller to appropriate office or individual.
- Assists colleagues as needed.
- Performs other duties as assigned.
- High school diploma or GED. Associates degree preferred.
- Ability to meet all Department hiring requirements, including passage of a drug test.
- Knowledge of state laws pertaining to tax collections and policies, practices, and legal requirements of the Department, with ability to effectively respond to inquiries and apply appropriate procedures accordingly.
- Knowledge/Experience with Microsoft Office – especially Excel.
- Working knowledge of standard bookkeeping principles and practices, and ability to make arithmetic calculations, record transactions, and maintain complete records.
- Banking experience helpful.
- Working knowledge of standard office procedures and computer software used by the Department, with ability to apply such knowledge to a variety of interrelated processes, tasks and operations.
- Working knowledge of standard English grammar, spelling and punctuation, and ability to prepare correspondence and tax statements as required.
- Knowledge of basic filing systems and ability to create and maintain accurate and complete Department files/records.
- Ability to properly operate standard office equipment, including, but not limited to, computer, typewriter, calculator, telephone, copier, scanner, counterfeit machine, and fax machine.
- Ability to effectively communicate orally and in writing with co-workers, other County departments, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.
- Ability to provide public access to or maintain confidentiality of department information and records according to state requirements.
- Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.
