The Administrative Assistant II (General) in the Quality Management Department provides routine administrative support, including data entry, report generation, mail processing, inventory control, and calendar management. The position assists clerks and other administrative staff, serves as a receptionist, notarizes documents, and may participate in disaster response or continuity operations as needed.
Essential Job Functions- Serve as receptionist, answering inquiries and directing visitors (30%)
- Produce, review, and proof correspondence, reports, and related documents (25%)
- Maintain supplies, issue emergency orders, and process requisitions (10%)
- Receive and deliver mail, maintain equipment, and serve as Notary Public (10%)
- Prepare and submit facility work orders, track status, and communicate with maintenance (10%)
- Distribute information and assist clerks and AAs I as needed (10%)
- Participate in disaster response or COOP activation (5%)
Skills and Abilities
- Proficiency in Microsoft Office (Teams, Outlook, Excel, Word, PowerPoint)
- Ability to organize information orally and in writing
- Skill in evaluating and using various databases
- Clear written and verbal communication
- Prioritization and task management with minimal errors
- Effective use of office equipment and basic computer software
- Valid Texas driver’s license or obtain within 90 days of hire
- Current notary public license or ability to obtain within 12 months
- At least 18 months of professional support experience
- At least 2 years using MS Office (Outlook, Word, Excel)
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks (CANRS, Nurse Aid, Medication Aide, Employee Misconduct, LEIE). Males 18-25 years old must register with Selective Service. All applicants must be at least 18 years old;
Waco and Terrell Center for Youth applicants must be 21 years old.
Flexibility in work hours may be required, including overtime or extended hours. Compliance with the HHSC immunization policy and state hospital procedures related to immunization is required. Vaccination is mandatory for certain positions; otherwise, mask and protective measures apply.
