Essential Job Functions
  • Establish, track, and maintain internal record‑keeping systems; manage confidential documents with discretion; ensure files are accurate, up‑to‑date, and securely stored. (20%)
  • Serve as a key point of contact by communicating professionally and effectively with the public, internal staff, government agencies, and private organizations; provide timely responses to inquiries. (15%)
  • Obtain equipment, services, and supplies needed by the department through inventory management and appropriate purchasing procedures. (15%)
  • Organize and coordinate meetings, conferences, and seminars; handle travel arrangements, requests, and vouchers for reimbursement; monitor and initiate purchases of office supplies, training materials, and conference registrations. (15%)
  • Gather, review, and analyze documents and data to provide technical assistance and administrative support; prepare and route reports and forms for approval; compile studies and documents for audits, compliance checks, and other reporting needs. (15%)
  • Maintain structured and efficient filing systems; manage incoming and outgoing communications; coordinate workflow between units; order office supplies and equipment; keep office environment organized. (15%)
  • Perform other duties as assigned, including participation in disaster response and/or recovery or Continuity of Operations (COOP) activation. (5%)
Knowledge, Skills, and Abilities
  • Knowledge of office practices and administrative procedures.
  • Knowledge of business English, spelling and grammar.
  • Knowledge of state travel policy and procedure.
  • Knowledge of record keeping and filing systems.
  • Knowledge of HIPAA laws.
  • Skilled in written communications, proofreading and editing.
  • Skilled in verbal communications and time keeping.
  • Skilled in Microsoft Office products.
  • Ability to implement, evaluate, and interpret administrative procedures and regulations.
  • Ability to work independently and as a team member.
  • Ability to manage multiple projects while meeting timelines.
  • Ability to prepare correspondence, forms and requisitions.
  • Ability to maintain confidential information and secure documents.
Initial Screening Criteria

At least two (2) years’ experience in a professional support role.

Eligibility and Background Checks

Applicants must be at least 18 years of age; special age requirements apply for certain centers. Candidates will undergo a fingerprint criminal background check, pre‑employment drug screen, and registry checks. A selective service registration may be required for males aged 18‑25.

Additional Information

Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required. All employees are required to be vaccinated according to their level of contact with individuals.
