Event Services Coordinator

Help Make Every Event a Great Experience At Wamesit Lanes, our events are planned and ready to go before our guests arrive. The Event Services Coordinator takes it from there. We're looking for someone who can be the friendly, professional face our event clients see when they walk through the door. You'll be their primary on-site contact, making sure they feel welcomed, taken care of, and confident that their event is in good hands.

Throughout the event, you'll stay connected with the client, work with the team members assigned to the event, keep an eye on timing and service, and step in when something needs attention. This role is all about hospitality, attention to detail, and creating a great guest experience.

What You ll Do
  • Welcome event clients when they arrive and serve as their primary point of contact throughout their event.
  • Review the BEO and event details before guests arrive so you understand exactly what has been planned.
  • Make sure the event space is clean, organized, properly set, and ready for the client.
  • Walk through event details with the client and confirm that the setup and services match what was planned.
  • Check in with clients throughout their event rather than waiting for them to come looking for help.
  • Anticipate client and guest needs and respond quickly to questions, requests, or concerns.
  • Monitor events from beginning to end to ensure services are being provided and the event stays on schedule.
  • Coordinate and provide direction to servers, bartenders, Party Patrol, attractions staff, and other employees working the event.
  • Work alongside the event team and assist with setup, service, replenishment, or cleanup when needed.
  • Handle minor concerns professionally and involve the Event Sales Manager or Manager on Duty when additional assistance is needed.
  • Develop a strong understanding of Wamesit s event packages, food & beverage offerings, attractions, and facility.
  • Use Tripleseat, Center Edge, and Brunswick to access and manage event information.
  • Process final payments and provide receipts when required.
  • Participate in pre- and post-event meetings as needed.
  • Follow all Wamesit policies and procedures, including food safety, alcohol service, cash handling, and workplace safety.
  • These responsibilities keep the focus on being present and attentive throughout the event, which is consistent with the role's responsibility to monitor events and respond to client needs.
Qualifications

You don t have to be an event planner to be successful in this role. We re looking for someone who is naturally guest-focused, organized, approachable, and comfortable taking the lead. You ll be a great fit if you:

  • Have 1–2 years of hospitality and/or food & beverage experience.
  • Have strong customer service and interpersonal skills.
  • Are comfortable providing direction to employees during an event.
  • Notice the details and can recognize when something needs attention.
  • Enjoy interacting with guests and building rapport with clients.
  • Can remain calm and professional when a guest has a concern or plans need to be adjusted.
  • Are comfortable jumping in to help the team when needed.
  • Can balance several priorities without losing sight of the guest experience.
  • Have strong verbal and written communication skills.
  • Are comfortable learning systems such as Tripleseat, Center Edge, and Brunswick.
  • Have reliable transportation.
  • Have a high school diploma or GED; additional education is a plus.
Schedule & Work Environment

Because this position supports scheduled events, flexible availability is required, including nights, weekends, and holidays. Wamesit Lanes is a busy Family Entertainment Center, so you ll be working in an active environment with plenty happening around you. Occasional travel to other company locations for meetings or events may also be required.
