Job Overview
The TRIO Student Support Services (SSS) Administrative Specialist provides and coordinates administrative support for the Office of TRIO, executing a range of clerical, data entry, and organizational duties essential to the efficient operation of the TRIO SSS program. This position reports to the Director of TRIO Student Support Services and is funded for a five-year cycle, contingent upon grant renewal.
Responsibilities- Provide and coordinate all administrative support operations for TRIO SSS.
- Coordinate meetings, appointments, events, itineraries, and travel arrangements.
- Prepare correspondence, agendas, and minutes of meetings.
- Maintain files, records, office supplies, equipment, mailings, and communication plans.
- Recommend process improvements and new initiatives.
- Develop and maintain an administrative and technical procedure manual.
- Manage budget information manually using spreadsheet applications and software.
- Maintain comprehensive student participant records and filing systems in accordance with university and federal guidelines.
- Input participant data and maintain the computerized student database program.
- Prepare, review, and analyze relevant reports and documents for program effectiveness.
- Assist in recruiting and retention efforts of the program.
- Disseminate current information via social media sites and e‑mail.
- Create and distribute marketing and recruiting materials.
- Provide front office management and perform other duties as required by the grant and/or supervisor.
- Bachelor’s degree or an equivalent combination of education and experience.
- Knowledge of word processing, spreadsheet, database, and presentation applications.
- Ability to multitask and work cooperatively with others.
- Interpersonal and communication skills.
- Planning and organization skills.
- Experience in data entry, budgeting, and record maintenance.
- Ability to create marketing and recruiting material.
- Understanding of barriers facing low‑income, first‑generation college, and students with disabilities.
- General knowledge of federal TRIO programs or similar initiatives.
- Ability to maintain confidentiality.
- Willingness to occasionally work beyond normal business hours.
This position generally does not supervise employees.
