Job Summary
Associate Athletic Director & Compliance Officer – responsible for coordinating, updating, and supervising programs to ensure compliance with NAIA and NCAA regulations. This role maintains the integrity of the institution’s athletic programs and ensures all athletic department activities comply with governing body requirements.
Responsibilities- Educate coaches, staff, and student‑athletes on compliance matters such as recruiting rules, financial aid restrictions, and amateurism rules.
- Assist coaches with NAIA/NCAA requirements.
- Supervise and monitor recruiting activities, including communications, evaluations, and admissions, to ensure compliance with NAIA/NCAA and university policies.
- Assist in the certification of continuing, transfer, and initial eligibility of student‑athletes.
- Collaborate with the Athletic Director to implement regulations, policies, and rules for educational workshops for department personnel, student‑athletes, and stakeholders.
- Communicate directly with the NAIA/NCAA Eligibility Center to monitor the eligibility of recruits and incoming freshmen.
- Monitor compliance with NAIA/NCAA regulations, including policies, procedures, and forms to maintain internal controls and student‑athlete eligibility.
- Oversee paperwork involved with official and unofficial campus recruiting visits.
- Coordinate the National Letter of Intent program and scholarship agreements with Financial Aid and the Conference Office.
- Assist or lead investigations of concerns, complaints, and potential rule violations.
- Monitor sports camp and clinic information and evaluate it for compliance with NAIA/NCAA regulations.
- Perform in‑person spot checks and reviews of camp employment lists.
- Assist in transportation of athletes to and from athletic events, including driving a full‑size passenger van or other large‑capacity vehicle.
- Oversee the allocation of athletic scholarships to ensure compliance with regulations regarding limits and distribution.
- Serve as the primary contact between the athletics department and external regulatory bodies such as the NCAA or regional conferences.
- Bachelor’s degree in an applicable field or equivalent combination of education and experience.
- Minimum five (5) years of related experience.
- Preferred master’s degree in an applicable field.
- At least three (3) years of professional experience in a compliance‑related field or position.
- State of Texas agency or higher education experience.
- Specialized compliance training or relevant certification(s) (e.g., FERPA, TitleIX, HIPAA, CPR, Bloodborne Pathogens).
- Knowledge and/or experience regarding FERPA, TitleIX, HIPAA, CPR, and/or Bloodborne Pathogens certification/training.
- Knowledge of NAIA/NCAA rules and regulations.
- Proficiency in word processing, spreadsheet, and database applications.
- Excellent written communication, analytical, interpersonal, and organizational skills.
- Ability to multitask and work cooperatively with others.
- Ability to travel and work beyond normal office hours.
- Ability to maintain confidentiality.
- Acceptable driving record and completion of a van safety course.
- State of Texas or Arkansas class “C” vehicle operator’s license (or ability to obtain within 30 days of employment).
- Capability to handle Protected Health Information (PHI) as defined by HIPAA regulations.
- Completion of FERPA and HIPAA training within a reasonable timeframe after employment.
- Possibility of supervising employees.
