Administrative Assistant IV
Provides varied secretarial and office administrative assistance to the Health Profession department and associated professional staff. In addition to providing secretarial and office administrative services for a designated unit or section and related supervisory and/or professional staff, incumbents also have responsibility for the work of additional office support personnel.

Minimum Education /Training/Experience
- Minimum of forty-five (45) college credit hours. Twenty-three (23) of the required forty-five (45) credit hours may be substituted with one and one-half (1-1/2) years directly related work experience. If work experience is used as a substitute for minimal educational requirement, then, it cannot also be used to qualify for minimum work experience Three (3) years of administrative assistance experience.
Preferred Education/Training/Experience
- Associates degree or higher. Four (4) years of experience.

- Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community. Ability to gather data, compile information, and prepare reports. Records maintenance skills. Skill in budget preparation and fiscal management. Ability to use independent judgment and to manage and impart confidential information. Ability to analyze and solve problems. Ability to plan, develop, and coordinate multiple projects.
Skill in organizing resources and establishing priorities. Demonstrated ability to maintain confidentiality. Word processing and/or data entry skills. Knowledge of office management principles and procedures. Skills in the use of database management, word processing, spreadsheet, and/or presentation software. Organizing and coordinating skills. Ability to foster a cooperative work environment. Knowledge of general accounting principles. Knowledge of human resources administration principles and practices.

Job Duties
- Oversees and administers the day-to-day activities of the office; develops procedures, and systems which ensure productive and efficient office operation. Provides assistance and support in problem solving, project planning and development and execution of stated goals and objectives. Performs specialized administrative support work related to planning, organizing and coordinating program activities. Prepares correspondence, reports and manuscripts and maintains confidentiality of such documents as required.
Serves as the primary point of administrative contact and liaison with other offices, individuals, and institutions on operational and programmatic matters concerning the Office. Organizes and facilitates meetings, conferences, and other special events; coordinates and attends committee meetings, and participates in committee discussions, as appropriate. Enters, edits and retrieves data and prepares periodic or special reports, using a computer system and following established formats and menus.
Oversees the operation of office and program accounts, and plans and monitors expenditures; as appropriate, develops and/or coordinates budgets for the office, programs and associated accounts. Orders equipment and program supplies as requested by Program Coordinators. Assists Program Coordinators, Directors and other departmental staff administratively in accounting for program funds and performance standards. Serves as a liaison between students, staff, the community and the College in relation to the programs and related activities, such as assisting students and the public by providing information about Health Profession Programs.
Provides and/or oversees provision of staff support to the office, to include handling walk-up and phone interactions, maintaining calendars and travel arrangements, screening, analyzing, and responding to incoming correspondence, handling day-to-day problems and situations, and provision of secretarial support. Performs miscellaneous job-related duties as assigned.
