Responsibilities
  • Administrative Support (60%)
    • Edit, distribute and respond to correspondence, reports, forms, and documents.
    • Explain and disseminate information on agency and divisional programs, procedures, regulations or policies.
    • Conduct administrative reviews to ensure completeness.
    • Administer travel arrangements, plan and facilitate meetings, and prepare presentations.
  • Purchasing, Accounting & Budgeting (25%)
    • Assist with budget preparation and maintain the tracking system.
    • Review expenditure history and maintain revenue tracking.
    • Check purchase request documents for accuracy and compliance.
    • Enter purchase order data and maintain procurement card logs.
    • Make purchases with a state procurement card.
  • Human Resources & Staffing Support (5%)
    • Coordinate job postings and screening of applicants.
    • Answer policy questions on promotions, demotions, merit increases.
    • Monitor employee timesheets and prepare leave reports.
    • Assist with interview processes and system access coordination.
    • Provide guidance to others.
  • Other Division Specific Duties (5%)
    • Coordinate and schedule travel for agency employees.
    • Conduct record retention work and disposal of records.
    • Assist with procedural or policy changes to improve operations.
    • Maintain equipment, materials and supplies.
    • Provide customer service to internal and external customers.
  • Marginal Duties (5%)
    • Perform additional duties as assigned.
    • Comply with agency, division and department rules, regulations, and procedures.
Minimum Qualifications
  • Graduated from high school or holds a GED.
  • Three years of experience in administrative support work.
  • Experience maintaining filing systems, compiling data for charts, spreadsheets, databases, and preparing summaries or reports.
  • Experience providing guidance to others.
  • Valid State driver’s license.
Acceptable Substitutions
  • Thirty semester credit hours from an accredited college or university with coursework in management, business administration or a related field may substitute for one year of the required experience, with a maximum substitution of two years.
Preferred Qualifications
  • Four years of experience in administrative support work.
  • Experience in customer service.
  • Experience in expenditure tracking, budget management or reconciliation.
Knowledge, Skills, and Abilities
  • Knowledge of office practices and administrative procedures.
  • Knowledge of records retention and archival methods.
  • Knowledge of purchasing, procurement methods or procedures.
  • Knowledge of human resources administration and hiring practices.
  • Skill with standard office equipment and software.
  • Skill in Microsoft Office Suite and virtual meeting platforms.
  • Skill in training others.
  • Skill in budget management, tracking, forecasting or monitoring.
  • Ability to communicate effectively, handle difficult or emergency situations, evaluate the effectiveness of systems, and identify and assemble information.
Working Conditions
  • Required to work 8 hours per day, 5 days per week.
  • May be required to work overtime, holidays, weekends, and other hours with supervisor approval.
  • May be required to operate a state vehicle.
  • Required to travel 5% of the time with possible overnight stays.
  • Required to conform to dress and grooming standards, work rules and safety procedures, and follow the non‑smoking policy in all state buildings and vehicles.
