Position SummaryReporting to the City Manager, the Management Assistant performs highly responsible administrative and professional work in support of the City Manager and Assistant City Manager. This position serves a key role in advancing organizational priorities by coordinating special projects, conducting research and analysis, supporting policy initiatives and implementation, and facilitating communication across departments and with external stakeholders.
The Management Assistant serves as an important liaison between the City Manager's Office, City departments, outside agencies, and the community. The position requires considerable independent judgment, initiative, discretion, and the ability to manage multiple priorities in a dynamic municipal environment.
This position works under the general supervision of the City Manager or Assistant City Manager.
Essential Functions- Assists in the preparation of agendas, presentations, and supporting materials for the City Council and other boards and committees. Coordinates and manages special projects and initiatives as assigned by the City Manager or Assistant City Manager.
- Responds to citizen inquiries, complaints, and requests for information in a timely, professional manner by providing information, answering questions and referring customers to appropriate resources; researches questions, topics or difficult citizen inquiries; provides timely and accurate feedback to relevant parties; tracks issues from conception to finalization and informs appropriate staff of the findings.
- Coordinates communication between the City Managers office and all levels of staff by providing open and clear communication.
- Monitors public concerns and provides reports to management; organizes and communicates managements instructions and desires to various individuals and/or department managers.
- Demonstrates continuous effort to enhance communications, solve problems, improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.
- Maintains oversight of departmental budget; monitors expenditures to ensure proper spending; provides appropriate documentation of budget revisions as needed; processes invoices and purchase orders; processes department payables.
- Coordinates and acts as liaison on special projects and programs as directed; may represent the City on special community projects, various associations, organizations, boards or committees.
- Researches and analyzes new programs; organizes and performs logistical tasks in preparation for special events and activities; coordinates details on various projects and provides assistance on special projects as required.
- Researches, compiles and analyzes information pertaining to various topics; prepares weekly, monthly, annual, special reports, and/or agenda items for City Council meetings as well as presentations as directed.
- Provides communications support such as newsletters and website and social media content updates as needed.
- Maintains records and retains documents according to retention procedures; provides general office administrative support as directed.
- Interacts professionally and respectfully with the public, coworkers and others in the course of daily work.
- Regular and timely attendance are required for this position.
- Must report to work for duty outside normally scheduled work hours in response to natural disasters, emergencies or critical incidents as determined by City Administration.
- Serves as backup to City Secretary as needed.
- Coordinates and manages special projects, strategic initiatives, and organizational improvement efforts.
- Conducts research, collect data, and prepare reports, presentations, and recommendations for executive leadership.
- Assists with the development, implementation, and evaluation of initiatives, programs, and procedures.
- Serves as a liaison between the City Manager's Office, City departments, elected officials, outside agencies, community organizations, and residents.
